Full job description

Job Summary
We are seeking a highly organised and proactive Office Manager to join our growing freight forwarding and logistics team. This is a key position responsible for ensuring the smooth and efficient running of the office while providing administrative support to management and operational teams.

The successful candidate will have excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced freight forwarding
environment.

Key Responsibilities

Manage daily office operations and administrative functions.
Supervise administrative staff and coordinate office activities.
Maintain company records, filing systems, and documentation.
Support freight forwarding and logistics teams with administrative requirements.
Coordinate meetings, travel arrangements, and company events.
Monitor office supplies, equipment, and vendor relationships.
Assist with invoicing, purchase orders, and basic accounting tasks.
Ensure compliance with company policies and procedures.
Liaise with customers, suppliers, shipping agents, and service providers.
Support HR activities, including onboarding, attendance records, and staff communications.
Assist senior management with reporting, KPI tracking, attendance, and operational performance analysis.

Requirements

Previous experience as an Office Manager, Administration Manager, or similar role.
Experience within freight forwarding, Customs, logistics, shipping, or transport industries.
Excellent organizational and multitasking skills.
Present to and manage a team
Strong communication and interpersonal abilities.
Proficiency in Microsoft Office (Word, Teams, Excel, Outlook).
Ability to work independently and manage priorities effectively.
Knowledge of freight forwarding documentation and processes would be advantageous.
