Administration Coordinator – Property Industry
Location: Home-based with regular local travel around Crewe and surrounding areas
Salary: £15,000 – £17,000 per year, depending on relevant experience
Hours: Part time, 3 days per week
Contract: Permanent
Mileage: 55p per business mile
Working arrangement: Home-based with property visits as required
About the role
SKope Property Investments is a privately owned residential property business managing a portfolio of approximately 25 properties, primarily across Crewe and Newcastle-under-Lyme.
We are looking for a capable and organised Administration Coordinator to support the day-to-day running of the portfolio.
This is a varied position combining administration, coordination and occasional practical property-based tasks. Much of the role can be completed from home, but you will also need to attend properties locally for inspections, viewings and other planned visits.
The owners are based in London, so they are looking for someone locally who can work independently, keep on top of outstanding actions and provide clear updates on what is happening across the portfolio.
You do not need to be a property expert. The priority is finding someone reliable, organised and comfortable taking responsibility for their own workload.
Your responsibilities
Your work will include:
- Maintaining accurate property records, digital files, insurance documents, reports and supporting paperwork.
- Coordinating utility accounts across the portfolio, including changes during void periods, new purchases and tenant move-ins.
- Liaising with letting agents regarding maintenance issues and organising contractors when work is required.
- Managing routine maintenance within agreed authority levels and escalating larger or more complex issues to the owners.
- Carrying out planned visual property inspections and recording any maintenance or condition issues identified.
- Following up on agreed repairs or actions to make sure they have been completed.
- Supporting the owners with potential property purchases by monitoring opportunities and communicating with local estate agents.
- Arranging and attending property viewings where required and providing clear feedback afterwards.
- Keeping regular contact with estate agents, letting agents, contractors, insurers and other suppliers.
- Assisting with the administration involved when properties are purchased, refinanced or moved between management arrangements.
- Maintaining an organised diary and action list so important tasks and follow-ups are not missed.
- Providing concise written updates to the owners on progress, outstanding actions and anything requiring a decision.
What we are looking for
This role would suit someone who is naturally organised and comfortable working without constant supervision.
You should be able to:
- Manage several ongoing tasks while keeping accurate records.
- Follow actions through to completion rather than allowing things to drift.
- Use initiative to deal with straightforward problems independently.
- Communicate confidently and professionally with agents, contractors, suppliers and the owners.
- Work effectively from home and organise your own time.
- Gather information, compare options and summarise the situation clearly when something needs a decision.
- Use email, digital filing systems and standard office software confidently.
Previous property experience would be useful but is not essential.
Relevant experience could come from areas such as:
- Property administration
- Lettings or estate agency
- Facilities or maintenance coordination
- Operations administration
- Executive or personal assistance
- Sales administration
- Customer service or account coordination
Important requirements
As the property portfolio is mainly around Crewe and Newcastle-under-Lyme, you must:
- Live within practical travelling distance of Crewe.
- Hold a full UK driving licence.
- Have reliable access to your own vehicle.
- Be comfortable travelling to properties for planned inspections, viewings and other business-related visits.
Salary and benefits
- £15,000 – £17,000 per year, depending on property-related experience.
- Permanent, part-time position.
- 3 days per week, with some flexibility for the right person.
- 28 days' annual leave including bank holidays, calculated pro rata.
- Company pension.
- Sick pay.
- Flexible working.
- Company laptop and phone.
- Business mileage paid at 55p per mile.
- Predominantly home-based working.
Longer-term opportunity
As the property business continues to develop, there is scope for the position to grow.
For the right person, this could include greater involvement in new property acquisitions, attending additional viewings, liaising with agents regarding approved offers and supporting the owners with the wider acquisition process.
It therefore offers someone the opportunity to build their property knowledge and take on broader responsibility over time.
Work location: Home-based with occasional travel around Crewe, CW1 and the surrounding area.
Pay: £15,000.00-£17,000.00 per year
Benefits:
- Casual dress
- Company pension
- Flexitime
- Sick pay
- Work from home
Work Location: Hybrid remote in Crewe CW1 2PT
