Office & Operations Manager

Location: Crawley, West Sussex
Salary: £40,000 – £45,000 per year, depending on experience
Hours: Monday to Friday, 8:30am – 5:00pm
Employment: Full-time

About the Role

JP Supplies is a family-run business based in Crawley, West Sussex, and has been successfully trading for over 36 years. We supply businesses across a wide range of industries with PPE, safety footwear, cleaning and janitorial supplies, office supplies and workplace essentials.

We are looking for an experienced and proactive Office & Operations Manager to take responsibility for the day-to-day running of our office and operational processes.

This is a key role within the business, working closely with the directors. We are looking for someone who can take ownership, identify areas where we can improve and help make the business more efficient.

This is a hands-on management role. You'll be involved in the day-to-day running of the business, while also looking at the bigger picture and finding better ways of working.

Key Responsibilities

Taking ownership of the day-to-day running of the office and customer service function.
Managing and supporting the administration and sales support team.
Customer orders from enquiry through to delivery.
Dealing with customer enquiries by telephone, email and in person.
Serving customers who visit our trade counter and ensuring they receive a friendly, professional service.
Preparing and following up quotations.
Managing purchasing and supplier orders.
Liaising with suppliers regarding pricing, availability and delivery times.
Monitoring outstanding orders and ensuring customers are kept updated.
Overseeing customer accounts, pricing and account administration.
Supporting stock management and working closely with the warehouse and delivery team.
Using and developing our Intact ERP system to improve efficiency and reporting.
Identifying opportunities to reduce manual administration and improve internal processes.
Developing and implementing clear procedures across the office.
Monitoring workload and ensuring tasks are completed accurately and on time.
Working closely with the directors on operational and commercial priorities.
Producing regular reports and identifying areas where the business can improve.
Supporting the implementation of new systems, technology and processes as the company continues to develop.
Helping ensure the business continues to deliver a high level of customer service.

About You

We're looking for someone who is organised, commercially aware and confident taking responsibility.

You will ideally have experience in an office management, operations, customer service or similar role, preferably within a small or medium-sized business.

You'll need to be comfortable getting involved and doing the work yourself, rather than simply delegating tasks.

We're looking for someone who:

Has strong organisational and time-management skills.
Is confident managing competing priorities.
Has excellent communication and customer service skills.
Is commercially minded and understands the importance of margin, service and customer relationships.
Is confident dealing with customers and suppliers.
Has experience managing or supporting other members of a team.
Is comfortable using computer systems and ERP software.
Can identify problems and find practical solutions.
Is proactive and doesn't need to be told what to do.
Has excellent attention to detail.
Can work independently and make decisions.
Enjoys working in a busy, varied environment.
Is willing to get involved in all areas of a small business.

Experience with an ERP system such as Intact would be an advantage, although training will be provided.
