JOB TITLE: Community Events Officer

RESPONSIBLE TO: Town Clerk

ENGAGEMENT: Part Time – 25 hours per week (one year fixed-term - with potential to become permanent subject to review)

SP LC1 7-19 (NJC Local Government Salary Scale)

Up to £21,665.43 pro rata

POSITION OVERVIEW:

The Community Events Officer is responsible for planning, organising, and managing civic and community events.

This role involves coordinating with various stakeholders, ensuring events run smoothly, fostering community

engagement through well-organised and impactful events and coordinating weddings/civil ceremonies. This role will

also involve assisting with committee meetings. Weekend working will be expected when required as part of Civic

Events.

KEY RESPONSIBILITIES:

1. STC Events Management:

Plan and execute council-sponsored events such as community festivals, Christmas market, public meetings, and

cultural activities.

Develop event concepts, timelines, and budgets in collaboration with relevant departments.
Coordinate logistics, including venue selection, vendor management, permits, and on-site management.
Process invoices, payments, and maintain financial records.

2. Civic Events Coordination:

Organise and attend civic ceremonies and functions, including official openings, award ceremonies, and

remembrance services.

Ensure all civic events are executed with appropriate protocol and decorum.
In conjunction with the Mayor’s Officer, liaise with dignitaries, local officials, and other key stakeholders to

ensure their participation and engagement.

Foster positive relationships with community members and stakeholders.

3. Community Engagement:

Foster community engagement by promoting council events and encouraging public participation.
Develop and maintain positive relationships with community groups, volunteers, and local organisations.
Gather feedback from the community to continuously improve event offerings and engagement strategies.

4. Marketing and Communication:

In conjunction with the Communications & Engagement Officer, create and distribute promotional materials for

events, including press releases, social media posts, and newsletters.

In conjunction with the Communications & Engagement Officer maintain an up-to-date council events calendar

and to ensure timely updates on the website and other platforms.

In conjunction with the Communications & Engagement Officer coordinate press coverage for events.

5. Budget Management:

Prepare and manage budgets for events, ensuring cost-effectiveness and adherence to financial guidelines.
Monitor expenditures and provide regular financial reports to the C&C Committee & Town Clerk

6. Committee Meeting Attendance:

Attend council and committee meetings as required.
Prepare and distribute agendas, minutes, and other relevant documents.
Ensure accurate record-keeping and follow-up on action items from meetings.
Provide administrative support to committee members.

7. Key Holder for Hires & Weddings:

Key holder for the Town Hall including alarm call outs, Fire Warden and first aider.
Serve as a key holder for council-owned facilities hired out for events and weddings when required.
Ensure security and access control for hired venues.
Provide support and assistance to event organisers and wedding parties as needed.

QUALIFICATIONS AND SKILLS:

Essential:

Proven experience in event planning and management.
Strong organisational and project management skills.
Excellent communication and interpersonal skills.
Ability to work effectively under pressure and manage multiple tasks simultaneously.
Proficiency in Microsoft Office and event management software (requirements to be identified by the officer).

Desirable:

Experience in public sector or local government.
Knowledge of civic protocol and procedures.
Experience in community engagement or public relations.
Relevant certifications in event management or public administration.

Personal Attributes:

Highly organised with strong attention to detail.
Proactive and resourceful problem solver.
Strong sense of professionalism and ability to maintain confidentiality.
Ability to work collaboratively with diverse groups and individuals.
Flexible and adaptable to changing circumstances and demands.
