Office Administrator

Pillar Properties Ltd – Newbury RG20 7DE

Role Overview

The Office Administrator plays a valued role in supporting the Lettings and Property Management function at Pillar Properties. This is an excellent opportunity for a highly organised administrator to contribute to a busy and professional property environment by supporting the smooth running of key processes, maintaining accurate records within the Jupix system, managing tenant and landlord documentation, and ensuring financial and compliance-related administration is handled efficiently.

The successful candidate will be highly organised, detail-oriented, and confident working in a fast-paced property lettings and management environment, with a proactive approach and a commitment to delivering excellent administrative support.

Key Duties Lettings and Property Management

Maintain accurate lettings and property management records within the Jupix system.
Support the day-to-day administrative operations of Pillar Properties through Jupix.
Update Jupix with new lettings and tenancy charges.
Book and coordinate tenant check-ins and check-outs.
Manage and maintain the mydeposits online account.

Tenant and Landlord Support

Liaise with Goodlord in relation to tenant referencing.
Respond professionally to tenant and landlord enquiries and requests.
Handle tenant and landlord documentation accurately and confidentially.
Manage the shared hello@mailbox inbox and distribute enquiries appropriately.

Key Skills and Attributes

Previous experience in property administration or lettings would be advantageous.
Excellent organisational and time management skills.
Strong attention to detail and accuracy.
Confidence using property management systems; experience with Jupix would be desirable.
Professional written and verbal communication skills.
The ability to manage multiple tasks and priorities effectively.
