Full job description

Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our team. This role is vital in ensuring the smooth operation of daily office functions and providing exceptional support to staff and clients. The ideal candidate will possess strong administrative skills, be proficient in various computer applications, and demonstrate excellent communication abilities. This paid position offers an opportunity to develop your organisational expertise within a professional environment.

Duties

Manage incoming calls with professional phone etiquette and direct enquiries appropriately
Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
Perform data entry tasks with accuracy using Microsoft Office, Google Workspace, and QuickBooks
Assist in scheduling appointments, meetings, and maintaining calendars for team members
Prepare correspondence, reports, and other documentation as required
Support accounts payable and receivable processes through accurate data entry and record keeping
Coordinate office supplies procurement to ensure stock levels are maintained efficiently
Provide general administrative support to various departments as needed

Skills

Proven office experience with strong organisational skills
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
Experience with QuickBooks or similar accounting software is desirable
Excellent typing speed and accuracy for data entry tasks
Strong communication skills with good phone etiquette
Demonstrated clerical experience supporting busy office environments
Ability to prioritise tasks effectively and manage time efficiently
Familiarity with administrative procedures and office management best practices
