About Us
UPS Power Services Limited is one of the UK's leading independent providers of Uninterruptible Power Supply (UPS) maintenance, emergency response and replacement solutions. With over 100 years of combined industry experience, we pride ourselves on delivering exceptional customer service, technical expertise and reliable support to businesses nationwide.

We are looking for a highly organised and proactive Contract Administrator to support the management of one of our major national service contracts. This is an important administrative role that helps ensure contractual commitments are delivered efficiently and our client receives an outstanding level of service.

Main Purpose of the Role

To provide efficient administrative support for the management of a major national service contract, ensuring contract records, maintenance schedules, quotations and customer documentation are managed accurately and efficiently, helping to deliver an excellent level of service.

Reporting To

Director

Key Responsibilities

- Administer maintenance contracts for a major national client.

- Maintain accurate customer, site and contract records within the company database.

- Raise quotations for maintenance remedial and additional works.

- Monitor outstanding quotations and purchase orders, following up where appropriate.

- Coordinate planned maintenance schedules with the operations team.

- Ensure service reports, certification and contract documentation are completed and uploaded promptly.

- Maintain contract compliance records and ensure documentation is accurate and up to date.

- Produce contract reports and spreadsheets as required.

- Liaise with internal departments, including Operations, Service and Accounts, to ensure contractual obligations are met.

- Support continuous improvement of administrative processes and systems.

- Provide general administrative support to the service department.

Skills & Experience

The successful applicant will have:

- Excellent organisational and time management skills.

- Strong attention to detail.

- Excellent written and verbal communication skills.

- Good knowledge of Microsoft Office, particularly Word, Excel and Outlook.

- Experience in an administrative or contract support role.

- Ability to prioritise workload and work independently.

- A proactive approach with excellent problem-solving skills.

- Previous experience within an engineering, electrical, technical or service-based business would be highly desirable. An understanding of maintenance contracts, engineering terminology and technical documentation would be an advantage, although full training will be provided.

Hours

- Part-time: 12-16 hours per week.
