Full job description

Overview
We are seeking a highly organised and proactive Office Coordinator to join our dynamic team. The successful candidate will play a vital role in ensuring the smooth operation of our office environment, providing administrative support, managing team activities, and maintaining effective communication across departments. This role offers an excellent opportunity for individuals with strong clerical and organisational skills to contribute to a professional and collaborative workplace.

Responsibilities

Oversee daily office operations to ensure efficiency and organisation
Manage scheduling, appointments, and calendar coordination for team members
Utilise Xero for bookkeeping, invoicing, and financial record-keeping
Coordinate trades team activities
Handle human resources tasks such as onboarding new employees and maintaining personnel records
Maintain accurate filing systems, both digital and physical
Provide exceptional communication support via phone, email, and in person, demonstrating professional phone etiquette
Assist with organising meetings, preparing agendas, and taking minutes as required
Support office procurement processes and liaise with vendors for supplies and services
Ensure compliance with company policies and procedures

Experience

Proven experience in an office environment, ideally in a supervisory or coordinating role
Demonstrable clerical and administrative experience with strong organisational skills
Experience using accounting software is highly desirable
Previous team management or supervising experience is preferred
Strong communication skills with the ability to liaise effectively across departments
Familiarity with human resources procedures and documentation processes
Excellent organisational skills with attention to detail and the ability to prioritise tasks effectively
Professional phone etiquette and interpersonal skills are essential for success in this role
