Job Overview

We are seeking a professional and personable Receptionist to join our organisation. The successful candidate will be the first point of contact for visitors and callers, providing excellent customer service and administrative support. This role offers an opportunity to work in a dynamic environment where organisational skills and attention to detail are highly valued. The position is paid and ideal for individuals with a passion for delivering outstanding service while efficiently managing administrative tasks.

Duties

Welcome visitors and direct them appropriately, ensuring a positive first impression of the organisation
Answer incoming calls promptly and courteously, directing enquiries to the relevant departments
Manage appointment scheduling and coordinate meetings using organisational tools
Perform data entry tasks accurately using Microsoft Office, Google Workspace, or QuickBooks as required
Maintain a tidy and organised reception area, ensuring all materials are well-presented
Handle correspondence via email and postal mail, ensuring timely distribution and filing
Assist with administrative tasks such as filing, photocopying, and document preparation
Support other administrative staff with various clerical duties to ensure smooth office operations

Qualifications

Proven office experience or previous administrative roles preferred
Strong computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or similar accounting software is advantageous
Excellent organisational skills with the ability to prioritise tasks effectively
Exceptional phone etiquette and communication skills
Fast and accurate typing skills for data entry purposes
Demonstrated clerical experience with attention to detail and confidentiality
Ability to work independently as well as part of a team in a professional manner
