UTV Products Ltd is a growing lighting company operating across the UK, Ireland, Slovenia and Canada, with further expansion planned through a new warehouse in the Netherlands. The business also works with an existing distributor in New Zealand, which requires ongoing operational support to ensure stock, communication and customer requirements are handled effectively.
Due to continued growth and changes within the Operations team, we are looking for an experienced Office & Operations Manager to support the day-to-day operational running of the business and help build a more structured, scalable and accountable way of working.
This role will work closely with our senior operations lead, who will retain responsibility for higher-level operational strategy, global operations support and complex escalations. The successful candidate will take ownership of key day-to-day operational processes, team coordination, customer service support, stock administration, warehouse follow-up and internal communication.
Role Overview
The Office & Operations Manager will support the smooth running of the company’s operational functions.
This includes office management, customer service team coordination, show and event logistics, 3PL warehouse follow-up, Sage stock and purchase order administration, website order checks, supplier coordination, inbound stock movements, systems support, back-order reporting and operational communication across the business.
The role is ideal for someone who is highly organised, confident managing people, good with systems and comfortable working across stock, logistics, customer service, warehousing, suppliers and internal departments.
Key ResponsibilitiesOffice and Operations Support
- Oversee the day-to-day running of the office and support operational functions.
- Ensure operational tasks are followed up, owned and completed.
- Support directors and senior management when they are away from the office.
- Improve communication between Operations, Sales, Engineering, Finance, Marketing, Warehousing and Directors.
- Ensure actions have clear owners, deadlines and outcomes.
- Help create a more structured and accountable way of working across the business.
Customer Service Team Coordination
- Coordinate the Customer Service team on a day-to-day basis.
- Ensure all phone and email enquiries are responded to professionally and promptly.
- Maintain customer service cover during holidays, sickness and busy periods.
- Support the team with product, order, warranty and technical customer enquiries.
- Create clear escalation routes where the team cannot answer a customer query.
- Help improve customer service processes, training materials and internal knowledge tools.
- Ensure the customer service team is supported, organised and accountable.
Stock, Sage and Purchase Order Administration
- Support stock control processes through Sage.
- Raise, review and monitor supplier purchase orders.
- Ensure stock records are accurate and up to date.
- Monitor stock availability and flag stock risks.
- Manage back-order reporting and ensure out-of-stock information is communicated business-wide.
- Help review Sage reorder levels and support purchasing decisions.
- Liaise with Engineering, Sales and Finance to support stock planning and product demand.
Website Orders and Sage/WooCommerce Connector
- Monitor website orders to ensure they flow correctly into Sage.
- Check that the Sage to WooCommerce connector is functioning correctly.
- Identify and help resolve website order import issues.
- Work with the website and marketing team to reduce operational friction caused by website processes.
- Ensure order data, customer details and stock information are processed accurately.
Warehouse and 3PL Follow-Up
- Liaise with third-party logistics warehouse partners.
- Help ensure all 3PL warehouses are performing correctly.
- Follow up warehouse issues relating to turnaround times, stock accuracy, communication, returns and order processing.
- Ensure inbound stock is properly planned, documented and received.
- Help coordinate stock movements to the correct warehouse.
- Support warehouse reporting and KPI tracking.
Supplier, Factory and Inbound Shipment Coordination
- Liaise with various factories and suppliers.
- Track and communicate inbound supplier and factory orders.
- Ensure ASNs are completed for inbound warehouse shipments.
- Ensure TSS requirements are completed for inbound goods into Northern Ireland.
- Monitor supplier lead times and production visibility.
- Share forecasts with suppliers where required.
- Work with Engineering, factories and suppliers to support product demand planning and stock availability.
Accounts and Payment Coordination
- Work with the accounts team to ensure proformas are chased.
- Ensure payments are allocated to proformas so goods can be dispatched.
- Help ensure outstanding payments are followed up.
- Check that payments are allocated correctly on Sage.
- Help ensure customer statements are kept up to date.
- Support communication between Accounts, Customer Service and Operations.
Reporting, Forecasting Support and Stock Planning
- Support stock forecasting and planning processes.
- Review sales history, supplier lead times and seasonal demand where required.
- Help identify high-moving and “never out of stock” products.
- Support reporting on back orders, out-of-stock items, warehouse issues, cancellations and operational risks.
- Ensure key operational information is communicated clearly across the business.
Shows, Events and Merchandise
- Arrange logistics for trade shows, exhibitions and events.
- Ensure products, displays, samples, merchandise and equipment are available when required.
- Coordinate transport to and from shows.
- Ensure event equipment and stock are returned, checked and accounted for.
- Monitor merchandise levels and arrange replenishment where required.
Software, Systems and Business Continuity
- Help ensure key business systems and software are functioning correctly.
- Coordinate support where software issues affect operations.
- Support server and operational system maintenance where required.
- Identify system issues that could affect business continuity.
- Work with internal and external support providers where required.
Processes, SOPs and Continuous Improvement
- Help create and improve SOPs for customer service, order handling, stock control, warehouse issues, purchase orders, inbound shipments and system checks.
- Ensure key workflows are documented and understood by the team.
- Reduce reliance on knowledge sitting with one person.
- Support clearer ownership, accountability and action tracking.
- Help the business move from reactive problem-solving to structured operational management.
Skills and Experience Required
The ideal candidate will have:
- Previous experience in an Office Manager, Operations Coordinator, Assistant Operations Manager, Stock Control, Logistics, Customer Service Manager or similar role.
- Experience coordinating or managing people.
- Strong organisational and communication skills.
- Experience using Sage or a similar ERP/accounting system.
- Good stock control and purchasing administration experience.
- Experience working with supplier purchase orders.
- Experience working with warehouses, logistics providers or 3PL partners.
- Experience with eCommerce order processes, ideally WooCommerce or similar.
- Good understanding of business systems and operational software.
- Ability to create processes, reports and SOPs.
- Strong attention to detail.
- Ability to prioritise, delegate and follow up effectively.
- Confidence working across multiple departments.
- A proactive, accountable and practical approach.
Desirable Experience
- Experience in a product-based business.
- Experience in automotive, agricultural, lighting, parts, engineering or distribution sectors.
- Experience with international suppliers and inbound shipments.
- Experience with ASNs, TSS, customs or cross-border stock movements.
- Experience supporting multi-country operations.
- Experience with stock forecasting or supplier lead-time planning.
