Business Manager to the Chair, Vice Chair & Management Committee (HEO)

The role, why is it for me?

This is an exciting and unique position which works to directly support and advise the Chair and Vice Chair of the Parole Board as well as managing all administrative work and on the day support for Management Committee which is the highest level of governance that exists within the Board.

The role is based within the Executive Office function and gives you unique exposure to strategic and exciting developments.

This is a fast-paced role, and you will need to be flexible and agile, to adapt to the changing priorities of the Chair, Vice Chair and the business. You will be supporting the CEO office with high-profile activities, both internal and external, which will have a direct impact on the reputation of the Parole Board. Whilst this role has an element of diary management, it is much more than this. The role includes business management support which can vary from creating briefings ahead of meetings, advising the Chair and Vice Chair on areas of business knowledge, accompanying them to exciting events, helping them and the CEO respond to Ministerial correspondence, building relationships with private offices and other key stakeholders.

The role also encompasses supporting the administration of the Management Committee, which is the Parole Board’s highest level of decision making. The Parole Board Chair, chairs these meetings with your help in arranging the overall administration and on the day, in-person facilitation.

T are never two days the same in this role and function, and you will continually learn new skills and form relationships to provide necessary support for the members, secretariat, and leadership team.

Job Purpose

As Business Manager to the Chair, Vice Chair and MC you will directly report into the Head of Private Office. You will support the Chair and Vice Chair with their day-to-day role, and strategic delivery of tasks and priorities. You will understand the work of the Parole Board and be able to advise and brief the Chair confidently and effectively.

The role does not currently have line management responsibility, but this could be a requirement in the future.

You will be an advocate on behalf of the Chair and Vice Chair when you liaise with key stakeholders like Private Office to Ministers. You will enjoy developing relationships, like the important one you will have with the new Chair, Vice Chair and other members of the Management Committee. Due to the nature of the role you will also work with the CEO and COO on a day-to-day basis and work ly with the rest of the Executive Office to ensure all leaders and supported to the highest level.

You will need to be organised and able to balance conflicting demands. You will be supported by other colleagues within the Executive office, but building confidence and being a self-starter is important.

The successful post holder will be exposed to sensitive information of which integrity, honesty and an ability to assess the correct action, with limited consultation will be key.

You will be expected to attend all Management Committee meetings, usually held in 10 South Colonnade every 8 weeks.

Scope of Responsibilities:

Activities and actions relating to:

Diary management for the Chair.
Managing and protecting the Chair and PB reputation.
Supporting and advising the Chair and Vice Chair on priorities and key issues.
Creating briefings, ensuring the Chair is equipped with the information and resources to do their job effectively.
Assistance in the drafting of letters and other key correspondence to external stakeholders on behalf of Chair, Vice Chair, CEO or COO.
Building strong relationships internally and externally.
Have overall responsibility of the administration of the Management Committee, including building the agenda with the Business Manager to the COO & SLT, booking the rooms and visitors on matrix, minuting the meeting and following up on actions.
Support the Chair and Vice Chair with any meetings they chair for the Parole Board.
Covering for your team when required.
Diary Management and support to the Vice Chair.
Administrative support and facilitation of Remuneration Committee, MRG and Standards Committee.

Ensure the Chairs reputation is upheld and that they are kept well informed of developments.

Person Specification

Essential

Proven track record of organising ones work, or preferably the workload of someone more senior.
Operational experience or an in-depth understanding of the Parole Board that allows for accurate knowledge and process information to be disseminated, and advised to the most senior leaders and to be used in correspondence for external correspondence.
An understanding of the importance of working in a way that supports and protects the reputation of the Parole Board and Chair.
Demonstrable attention to detail and working in fast paced environment.
Excellent communication skills: written and oral.
Experience of working within a multi-stakeholder environment.
Ability to build effective working relationships with key stakeholders (ALBs; other agencies; private office) and staff.
Ability to prioritise and manage high volumes of e-mails in multiple inboxes.
Ability to take initiative and work independently.

Desirable

Minute taking/action-log creating experience.

The Parole Board offers a range of benefits:

For nationally advertised campaigns, candidates will be appointed to their nearest Justice Collaboration Centre or Justice Satellite Office. This will be discussed and agreed with the successful candidate(s) on the completion of pre-employment checks.

The Parole Board offers a flexible working system in many offices. Standard full time working hours are 37 hours per week. Parole Board welcomes part-time, flexible and job-sharing working patterns, w they meet the demands of the role and business needs. All applications for part-time, flexible and job-sharing working patterns will be considered in accordance with the Parole Board’s Flexible Working policy.

Annual Leave

Annual leave is 25 days on appointment and will increase to 30 days after five years’ service.

T is also a scheme to allow qualifying staff to buy or sell up to three days leave each year. Additional paid time off for public holidays and 1 privilege day. Leave for part-time and job share posts will be calculated on a pro-rata basis.
