The Role: What We Are Looking For
We are looking for a rare and exceptional combination: a master organiser who loves systems, but who also has a backbone of steel.
As our Operations & Logistics Coordinator, you will be the central pillar of our daily business—the "air traffic controller" who manages our engineers' diaries, handles client bookings in our job management software (Fergus), and keeps our operations running like clockwork.
This is an autonomous role for someone who thrives on structure, enjoys a fast-paced environment, and wants real ownership over a company's daily workflow.
Key Responsibilities
Gatekeeper of Bookings: Manage all new incoming jobs via email, WhatsApp and phone, ensuring everything is logged accurately in Fergus before resources are allocated.
Diary Optimisation: Plan, schedule, and manage our engineers' daily workloads for maximum efficiency and productivity.
Operational Guardrails: Protect our field teams and schedules from last-minute, unauthorised disruptions. You will have full authority over the company calendar.
The Daily Briefing: Work closely with our field directors to extract daily commitments and client updates, turning verbal chats into organised system actions.
Administration & Invoicing: Monitor job progress, provide real-time support to engineers throughout the day and handle the closing out and invoicing of completed works.
About You
The "Velvet Brick": You are exceptionally polite and professional on the phone, but you possess an underlying backbone of steel. You can firmly and calmly hold operational boundaries with strong-willed internal partners and demanding clients.
Obsessed with the Details: You naturally thrive on checklists, colour-coded calendar and process optimisation. Clerical errors drive you crazy.
Independent & Assertive: You don't wait to be told what to do. When a scheduling conflict or a demanding client arises, you handle it directly and solve the problem.
Tech-Fluent: You are highly comfortable with Microsoft Office and open to mastering our job management system (experience with Fergus is a bonus, but full training is provided).
