About the Team
The Business Administration Team provides essential coordination, administrative, and operational support that enables Artesia to operate efficiently and effectively. The team supports colleagues across all areas of the business, ensuring our systems, processes, facilities, suppliers, records, and communications are well managed and aligned with company needs.
About the Role
As Senior Business Administrator, you will be responsible for overseeing the operational backbone of Artesia. Working closely with the directors and supported by a Junior Business Administrator, you will manage key business functions including finance administration, supplier management, quality and compliance systems, governance support, office operations, marketing administration, events coordination, and business reporting.
This is a broad and varied role that combines hands-on delivery with oversight of business processes and administrative activities. You will be trusted to operate independently, identify improvements, and ensure the business has the systems, information, and support it needs to thrive.
Key Responsibilities
Financial Administration & Reporting
- Deliver and coordinate financial administration activities including processing and issuing sales invoices, purchasing, supplier payments, and credit control.
- Act as the primary liaison with external bookkeepers and accountants.
- Prepare and maintain management information, financial reports, dashboards, and performance metrics.
- Support forecasting, cashflow monitoring, and cost management activities.
- Assist directors in monitoring business performance and identifying financial risks or opportunities.
- Support year-end accounting including R&D tax credit applications.
Supplier & Contract Management
- Manage relationships with outsourced service providers including:
- IT Managed Service Provider
- Finance and bookkeeping providers
- Insurance brokers
- Marketing and website providers
- Facilities and office suppliers
- Coordinate contract renewals and supplier reviews.
- Monitor supplier compliance and performance.
- Support procurement and purchasing activities.
- Identify opportunities to improve value, efficiency, and service quality.
Quality, Compliance & Governance
- Own and maintain Artesia's Quality Management System (QMS).
- Ensure policies, procedures, templates, and controlled documents remain up to date.
- Develop and apply document retention and control processes in line with GDPR requirements.
- Coordinate internal audits, management reviews, and improvement activities.
- Support ISO and business accreditation activities.
- Maintain compliance records, risk registers, training records, and governance documentation.
- Support business continuity, risk management, and continuous improvement activities.
- Coordinate evidence gathering for audits and accreditation reviews.
- Produce reports and information to support leadership and board decision-making.
Business Insurance & Risk Management
- Manage company insurance arrangements and annual renewals.
- Liaise with brokers and insurers on coverage, claims, and policy requirements.
- Maintain business risk records and associated documentation.
- Support risk reviews and mitigation activities.
Marketing & Communications Administration
- Maintain website content, team profiles, project summaries, news stories, and case studies.
- Administer Artesia's LinkedIn, X, and other communication channels.
- Schedule and publish articles, blogs, project updates, and promotional content.
- Coordinate production and distribution of newsletters and company communications.
- Maintain contact databases, mailing lists, and CRM information.
- Support marketing campaigns, awards submissions, conferences, and promotional activities.
- Monitor and report on marketing activity and engagement metrics.
- Provide company information as part of large tenders.
Events Management
- Manage Artesia's process for identifying, approving, and attending industry events.
- Maintain a forward programme of relevant conferences, webinars, exhibitions, networking events, and awards.
- Coordinate requests from staff wishing to attend events.
- Support directors/line managers in reviewing and approving attendance requests.
- Arrange registrations, travel, accommodation, and logistics.
- Track attendance, costs, outcomes, and follow-up actions.
Office & Facilities Management
- Working with the Junior Business Administrator:
- Oversee the smooth day-to-day operation of Artesia's office environment.
- Manage facilities suppliers, service contracts, and maintenance arrangements.
- Ensure office equipment, resources, and facilities support effective working.
- Coordinate workplace health and safety arrangements.
- Support office moves, changes, and facilities improvement projects as required.
Executive & Business Support
- Support quarterly and annual business planning activities.
- Coordinate meetings, events, and company-wide communications.
- Assist with governance administration and business improvement initiatives.
- Ad-hoc administrative support for HR Generalist including coordinating training bookings, and liaising with employees and providers as needed.

Essential Experience
- Experience in business administration, office management, business operations, or a similar role, with the ability to demonstrate the skills needed to succeed in this position.
- Knowledge of basic accounting, bookkeeping, or management reporting processes.
- Experience managing suppliers, contracts, or external service providers.
- Experience maintaining business records, policies, and compliance documentation.
- Strong organisational and prioritisation skills.
- Organise and prioritise a varied workload, balancing deadlines and competing priorities effectively.
- Strong Microsoft 365 skills, particularly SharePoint, Word, Outlook, Teams, and Excel.
- Excellent written and verbal communication skills.
Desirable Experience
- AAT, ILM, business administration, operations, compliance, or similar relevant professional qualifications.
- Experience line managing others including supporting, coaching and developing a team to achieve shared goals.
- Experience within a consultancy, engineering, professional services, or technical environment.
- Experience administering a Quality Management System or ISO-certified management system.
- Experience coordinating audits, accreditations, or compliance activities.
- Experience of working with GDPR requirements, in a range of contexts
- Experience maintaining websites and social media channels.
- Experience administering CRM or marketing databases.
- Experience coordinating conferences, exhibitions, or corporate events.
