Conveyancing Administration Assistant

Working Hours: Monday to Friday, 9:00am–5:00pm

About the Role

We are seeking a highly organised and proactive Conveyancing Administration Assistant with previous conveyancing experience to join our busy and friendly property team.

Previous experience working within conveyancing is essential for this role. Applicants must also have practical experience carrying out client ID checks and Anti-Money Laundering (AML) checks within a conveyancing environment.

This is an excellent opportunity for someone who already has a foundation in conveyancing but is looking for a role where they can progress, develop their knowledge and gain experience across different areas of the conveyancing process.

You will initially provide essential administrative support to our conveyancer, helping transactions progress smoothly from file opening through to post-completion. As your knowledge and confidence develop, there will be opportunities to take on additional responsibilities, learn different aspects of residential conveyancing and develop your role within the team.

We are looking for someone who is keen to learn, shows initiative and wants to build a longer-term career within conveyancing.

Key Responsibilities

File Management & Setup

Opening new conveyancing files in accordance with firm procedures
Independently carrying out client ID verification and AML checks
Identifying and escalating any AML or compliance issues where appropriate
Preparing and issuing client care letters and initial documentation
Requesting searches and obtaining title documents
Ensuring all documentation and information is accurately recorded on the case management system
Supporting the conveyancer with the progression of sale and purchase transactions

General Administrative Support

Assisting the conveyancer with day-to-day conveyancing and administrative tasks
Handling incoming and outgoing post and correspondence
Managing telephone calls and taking accurate messages
Liaising professionally with clients, estate agents and other solicitors
Maintaining accurate and up-to-date records
Scanning, filing and managing documentation
Learning and assisting with different stages of the conveyancing process as your experience develops

Post-Completion Duties

Preparing and submitting SDLT returns
Assisting with post-completion matters
Dealing with requisitions
Closing files in accordance with regulatory and firm requirements
Archiving completed files

Essential Skills & Experience

Please note: Previous conveyancing experience is essential. Applications from candidates without conveyancing experience will not be considered.

The successful candidate must have:

Previous experience working in a residential conveyancing environment
Practical experience carrying out ID and AML checks for conveyancing clients
A good understanding of the residential conveyancing process
Previous administrative experience within a conveyancing team
Strong organisational skills and excellent attention to detail
Good IT skills, including Microsoft Office and experience using case management systems
The ability to prioritise a busy workload and meet deadlines
Professional and confident written and verbal communication skills
