Overview
We are seeking a highly organised and detail-oriented Administration Assistant to support our office operations. This role is ideal for someone with previous office experience who excels in a fast-paced environment and possesses excellent communication skills. The successful candidate will play a vital part in ensuring smooth administrative processes, maintaining accurate records, and providing exceptional support to team members. This paid position offers an excellent opportunity to develop organisational and clerical skills within a professional setting.

Duties

Managing incoming calls with professional phone etiquette and directing enquiries appropriately
Organising and maintaining files, records, and documentation in both physical and digital formats
Performing data entry tasks with accuracy using Microsoft Office, Google Workspace, and QuickBooks
Assisting with scheduling appointments, meetings, and events
Preparing correspondence, reports, and presentations as required
Supporting accounts payable/receivable processes through accurate data entry and record keeping
Handling mail distribution and managing office supplies inventory
Providing general administrative support to team members to ensure operational efficiency

Skills

Proven office experience with strong organisational skills
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and QuickBooks
Excellent typing speed with high accuracy for data entry tasks
Strong administrative experience with attention to detail
Exceptional phone etiquette and communication skills
Ability to prioritise tasks effectively in a busy environment
Good understanding of clerical procedures and office management practices
Ability to adapt quickly to new software or systems as needed

This role requires a proactive individual capable of managing multiple responsibilities efficiently while maintaining professionalism. The ideal candidate will be reliable, resourceful, and eager to contribute positively to our organisation’s success.
