Full job description

Job Overview

We are looking for a proactive and organised Office & Property Administrator to join our busy property management team, immediate start. This is a varied, hands-on role covering office operations, facilities management, tenant communications, and administrative support across our property portfolio ensuring the office runs smoothly and efficiently.

Key Responsibilities

Office Administration

Answer and manage incoming phone calls and emails in a professional and timely manner.
Organise and distribute incoming post and outgoing letters, including court documents
Shop for and maintain stock of office supplies, stationery, food, milk, and toiletries
Maintain general cleanliness of kitchen areas, including loading/unloading the dishwasher and wiping surfaces
Clean and maintain the office coffee machine on a daily basis
Deposit cash and coins at the bank or post office as required
Track team birthdays and coordinate celebrations and gift planning
Organise weekly team lunches, including arranging payments and submissions

Property & Facilities Management

Request, collect, and submit meter readings for multiple properties
Ensure utility bills are accurate, checking VAT percentages, liability periods including business rate applicable periods, and energy usage, requesting refunds/adjustments where required and filing documents
Regularly update the Utility Spreadsheet and Database Checking Spreadsheet
Organise utility contract renewals, subject to manager approval
Regularly top up the parking account and fuel cards
Collect and manage CCTV footage as required

Tenancy & Compliance Administration

File and organise folders, documents
Conduct up-to-date AT checks upon request
Edit and issue Deposit Protection Certificate templates
Send general communications to tenants via property management platform

Finance Support

Check and submit invoices and receipts for purchases to the finance team

Any other tasks relevant to the role as instructed.

What We Are Looking For

Excellent organisational skills with the ability to manage multiple tasks simultaneously
Strong written and verbal communication skills
A proactive, can-do attitude with great attention to detail
Previous experience in an office administration or property management role
Previous experience in dealing with council tax bills, utility providers requesting adjustments where required, business rate bills - checking liabilities and requesting adjustments where required.
Comfortable using property management software and Microsoft Office/Google Workspace
Reliable, punctual, and a team player
Tech Savvy
