Hours: 8 am to 5 pm, 42.5 hours per week

Overview

This role plays a key part in supporting the Director of Projects Delivery and the smooth day-to-day running of project delivery across LPL Construction Services. The successful candidate will oversee the Company's use of the SiteDocs compliance software, ensuring site documentation, checklists and forms are completed accurately and on time, following up outstanding items with site and project teams, and reporting on compliance status to the Director of Projects Delivery.

The role also provides general administrative support to the projects delivery function, with occasional cover for airside pass administration and training bookings where required. We're looking for a highly organised individual with excellent attention to detail and the ability to manage multiple tasks simultaneously in a fast-paced construction environment.

Daily Responsibilities

Provide direct administrative support to the Director of Projects Delivery, including managing their email and calendar accounts.
Maintain schedules, databases and reports to record and share key project and performance information with the Director and the Board.
Set up, copy, scan and store documents in line with the Company's document management procedures, and manage documentation requests from internal teams, clients and third parties.
Organise, attend and, where appropriate, chair internal meetings, distributing action-focused minutes and following up on agreed actions.
Act as a key member of the bid team, supporting the development, writing, proof-reading and submission of tender documents to secure new work.
Act as the Company's primary administrator for the SiteDocs software, overseeing day-to-day use across all live projects.
Monitor completion of site documentation, forms, checklists and inspections within SiteDocs, proactively following up on outstanding or overdue items.
Produce regular compliance reports and dashboards from SiteDocs for review by the Director of Projects Delivery and other stakeholders.
Manage user accounts, permissions and training on SiteDocs, acting as first point of contact for system queries.
Provide occasional cover for airport pass administration and training bookings in the absence of the primary post holder.

Qualifications

Essential

Office administration qualification or equivalent experience.
Proficiency in Microsoft Office, particularly Word, Excel and Outlook.
Advanced organisational skills with the ability to handle multiple assignments simultaneously.
High degree of accuracy and attention to detail.
Strong written and verbal communication skills.
Self-motivated with the ability to work independently and use own initiative.
Excellent interpersonal skills and a professional telephone manner.
Valid UK Driving Licence (maximum 3 penalty points), and willingness/ability to obtain an airport pass.

Desirable

Previous experience of working within the construction industry.
Experience using SiteDocs or similar site compliance/EHS software.
Experience maintaining training matrices or compliance records.
Knowledge of document management systems or databases.
Experience working with iHasco or similar online training platforms.
