About the Role
Skin55 Ltd., a leading private dermatology clinic based on London’s Harley Street, is seeking an experienced and highly organised Medical Receptionist / Administrator to join our front-of-house team.
This fast-paced, patient-facing role sits at the centre of clinic operations, acting as the main coordination point between patients, clinicians, nursing staff, finance, and external healthcare providers.
You will ensure the smooth day-to-day running of reception and deliver an exceptional patient experience at all times.
The clinic is open from 8:00am to 8:00 pm - Monday to Friday and from 08:00 am to 2:00 pm on Saturdays. The candidate will work 45 hours per week which will include early starts or late finishes on a rota basis with existing reception team. The rota will include 2 Saturday shifts per month.
Key ResponsibilitiesFront of House & Patient Care
- Provide a professional and welcoming first point of contact for all patients and visitors
- Manage patient registration, appointments, and clinic flow (Meddbase experience desirable)
- Ensure patients receive a seamless, high-quality experience throughout their visit
- Handle urgent appointment requests and escalate appropriately to clinicians
- Process payments for consultations and procedures, issue receipts, and maintain accurate financial records
Coordination & Communication
- Act as a key communication point between clinicians, nursing staff, management, and external partners
- Liaise with hospitals, laboratories, consultant secretaries, and third-party providers
- Coordinate referrals, investigations, results, and follow-up care
- Support clinical teams with scheduling and patient flow
Administration & Communication Systems
- Answer and manage telephone calls professionally, taking accurate messages
- Monitor and respond to emails in a timely and structured manner
- Maintain accurate patient records and documentation
- Ensure reception systems and telephone lines are operational daily
- Assist with scanning, filing, and general administrative duties
Clinic Operations
- Maintain a clean, organised, and professional reception and waiting area
- Ensure clinic supplies (stationery, forms, refreshments) are fully stocked
- Support daily clinic preparation and operational readiness
- Identify and report maintenance issues promptly
- Support smooth clinic flow throughout the working day
Compliance
- Maintain strict patient confidentiality at all times in line with GDPR and clinic policies
- Ensure accurate and secure handling of all patient data
- Uphold high professional and ethical standards at all times
About You
We are looking for someone who is:
- Experienced in a medical reception or private healthcare environment (preferred)
- Highly organised with excellent attention to detail
- Calm, professional, and confident under pressure
- Strong communicator with excellent interpersonal skills
- Comfortable handling payments and financial transactions
- Able to multitask and prioritise in a busy environment
- Proactive and able to take initiative
- IT literate (Meddbase experience desirable)
Desirable Experience
- Private healthcare or clinic experience
- Insurance administration or authorisation handling
- Patient pathway coordination
- Knowledge of GDPR and clinical compliance standards
