Full job description

We are looking for a highly organised, proactive, and operationally strong Personal Operations Assistant to support a senior executive operating across technology, business operations, international travel, and high-growth ventures.

This is not a traditional “admin assistant” role.

You will act as the operational backbone behind a fast-moving executive lifestyle — managing logistics, reducing cognitive load, solving problems independently, and ensuring day-to-day operations run smoothly across both business and personal responsibilities.

The ideal candidate is highly capable under pressure, exceptionally organised, tech literate, fast at learning systems, and naturally takes ownership without needing constant direction.

About The Role

This role combines:

executive support,
operational coordination,
lifestyle management,
travel logistics,
scheduling,
research,
and problem-solving.

You will be responsible for creating structure around a high-output executive environment where priorities move quickly and attention is extremely valuable.

Success in this role means:

reducing operational friction,
improving efficiency,
protecting executive focus,
and proactively solving issues before they become problems.

Responsibilities Executive & Personal Operations

Manage complex calendars and scheduling across multiple time zones
Coordinate meetings, reservations, appointments, and logistics
Handle inbox triage and prioritisation where required
Organise and track personal and operational tasks
Prepare daily summaries, reminders, and briefing notes
Maintain structured operational systems and workflows

Travel & Logistics

Coordinate international and domestic travel
Manage flights, hotels, transfers, itineraries, and contingency planning
Handle travel changes and last-minute operational issues
Organise baggage, shipping, relocation, and movement logistics where required
Ensure smooth coordination across personal and business travel

Research & Coordination

Research vendors, products, services, tools, and operational solutions
Compare options and present concise recommendations
Liaise with suppliers, contractors, service providers, and external parties
Coordinate bookings, purchases, subscriptions, and renewals

Administrative Operations

Assist with expense tracking and operational organisation
Maintain accurate records and documentation
Help streamline operational processes and reduce inefficiencies
Build and maintain organisational systems in tools such as Notion, ClickUp, Google Workspace, or similar platforms

Requirements Essential

Extremely organised with strong attention to detail
Strong problem-solving ability and independent thinking
Excellent written and verbal communication skills
Comfortable operating in fast-paced and rapidly changing environments
Strong technology literacy and ability to quickly learn software/tools
High level of discretion and professionalism
Able to prioritise effectively under pressure
Comfortable handling both operational and personal coordination tasks
Based in or near Sheffield

Preferred

Experience supporting founders, executives, entrepreneurs, or high-performance professionals
Background in operations, project coordination, executive support, or startup environments
Experience with travel coordination and logistics management
Familiarity with productivity and operational tools
Experience working across international time zones

A-Level or equivalent (preferred)
