Full job description

Position: Administrative Assistant – Cabinet Members
Location: County Hall, Chichester, PO19 1RQ
Start Date: 10 September 2026 – 9:00 am
Contract Duration: Temporary – until 2 October 2026
Working Hours: 37 hours per week

Monday to Thursday: 8:30 am–4:30 pm, with a one-hour lunch break
Friday: 8:30 am–4:00 pm, with a one-hour lunch break
Initially office-based, with the potential for hybrid working later. A minimum of two days per week in the office will be required.

Pay Rate: £15.31 per hour (Grade 7)

Responsibilities:

Provide confidential, proactive and professional administrative support to elected County Councillors with Cabinet portfolio responsibilities
Manage diaries, appointments and meeting schedules effectively
Handle correspondence and routine administrative tasks on behalf of Cabinet Members
Work closely with colleagues in Democratic Services to provide efficient day-to-day support
Organise and prioritise workloads to meet deadlines in a fast-paced environment
Anticipate potential issues and use initiative to resolve them where appropriate
Communicate professionally with Councillors, senior officers and other stakeholders
Maintain a high level of confidentiality and discretion when handling sensitive information

Requirements:

Strong administrative and organisational skills with the ability to manage competing priorities and meet deadlines
Excellent IT skills and confidence using standard office systems
Ability to work independently, demonstrate initiative and make appropriate decisions
Excellent communication skills, both verbally and in writing
A high level of discretion and confidentiality when dealing with sensitive information
Flexible approach to changing priorities and workloads
Excellent attention to detail and the ability to maintain accurate records and documentation
Ability to develop and maintain professional working relationships with Councillors, senior officers, colleagues and other stakeholders
Previous Personal Assistant or similar administrative support experience is desirable
Experience supporting senior managers or senior stakeholders is desirable
Experience within a local authority or public sector environment is desirable
Previous experience in Democratic Services is desirable
