About the role
CIBSE is looking for an On-Site IT Support Coordinator to provide practical, day-to-day support across its offices and the Skills Hub. This is a hands-on role focused on the physical side of IT support: issuing and recovering laptops, setting up desks and meeting rooms, supporting AV equipment, resolving local hardware issues, and making sure staff have immediate, in-person help when they need it.
The role is designed to complement CIBSE’s third-party IT support provider, not duplicate it. KVD will continue to handle wider technical support, systems administration and escalated issues but this role will add localised support and improve responses. This post is about the on-site tasks that need someone physically present, responsive and organised.
What you will do

Prepare, issue, collect and track laptops, monitors, peripherals and mobile devices

Set up new starters with hardware and desk equipment, and recover equipment from leavers

Provide first-line, in-person support for hardware issues including screens, docks, keyboards, mice, chargers and cabling

Support meeting rooms, presentation spaces and the Skills Hub with practical AV setup, including screens, HDMI connections, adapters, microphones and room equipment

Carry out routine checks to ensure shared equipment, desks and meeting spaces are ready for use

Maintain accurate local asset records for devices, accessories and stock

Manage small stocks of essential IT kit and accessories, and flag reordering needs

Coordinate with KVD on issues that require remote support, warranty handling, repair escalation or system-level intervention

Receive, unpack, label and deploy hardware delivered to site

Assist with office moves, desk changes and local equipment relocations

Provide basic practical support for printers and other shared office devices

Keep IT storage areas tidy, secure and organised

Act as a helpful, visible point of contact for staff needing quick on-site technical support
The above is not an exhaustive list of duties and you will be expected to perform other related tasks to meet the overall business objectives of the Institution.
What you will need to be successful
Essential
-
Experience in a hands-on IT support, desktop support or service desk role

Confidence working with laptops, monitors, docks, peripherals, meeting room equipment and standard office hardware

Comfortable troubleshooting common hardware and local connectivity issues in person

Organised and methodical in handling device allocation, stock control and equipment records

Able to prioritise a steady flow of practical support requests across different teams

Good communication skills and a calm, helpful approach with non-technical users
-
Willing to be visible, responsive and present on site throughout the working week

Able to lift and move IT equipment safely within an office environment
Desirable
-
Experience supporting meeting room AV or training and event spaces

Experience using asset registers or ticketing systems

Familiarity with Microsoft 365 and standard Windows laptop environments

Experience working alongside an outsourced IT support provider
