Role Overview

We Are Care is seeking a proactive and detail-oriented Office Coordinator to join

our friendly and fast-paced team. This is a vital role supporting the day-to-day

operations of the business, ensuring administrative tasks are completed

accurately and efficiently. You’ll play a key part in maintaining smooth

communication between internal teams, clients, and care staff.

Key Responsibilities

Data Inputting: Accurately enter and maintain information on internal systems and

databases.

Timesheet Processing: Collect, verify, and process staff timesheets promptly to

support payroll and invoicing.

Candidate Onbaording: Ensure all compliance and employment documentation is

accurate, complete, and up to date.

Phone Answering: Handle incoming calls professionally, providing helpful and

friendly assistance to clients and staff.

General Administration: Support the wider team with filing, scanning, and document

management tasks.

Communication Support: Assist with email correspondence, follow-ups, and

scheduling where required.

Team Collaboration: Work closely with other departments to ensure administrative

processes run smoothly.

Hours & Pay

Pay Rate: £13.50 per hour
Working Hours: Typically 9:00am – 5:30pm, Monday to Friday – Later starts can

be accommodated.

On-Call Requirements: Generally 1 weekend in 3 (additional pay or time off in

lieu applies)

Skills & Experience Required

Previous experience in an administrative or office support role is ideal (preferably in

recruitment, healthcare, or a similar fast-paced environment).

Excellent attention to detail and high levels of accuracy.
Strong communication skills, both verbal and written.
Confident telephone manner with a friendly and professional approach.
Proficient in Microsoft Office (Word, Excel, Outlook) and general computer literacy.
Ability to prioritise tasks and manage time effectively.
Positive attitude and willingness to support colleagues and adapt to changing

priorities.
