Full job description

About the Role

We are looking for an organised, compassionate, and motivated ADHD Administrator / Care Navigator to join our team on a 6-month fixed-term contract providing maternity cover.

Working within a busy and dynamic healthcare environment, you will provide professional and efficient administrative support throughout the ADHD care pathway, coordinating appointments, referrals, correspondence, and clinical administration while supporting the clinical team.

PHL has delivered a largely virtual ADHD service for the past three years and has recently been awarded an additional contract to expand across the wider Hampshire & Isle of Wight (HIOW) area. The service supports adults across the ADHD pathway, including diagnosis, assessment, follow-up, medication reviews, and annual reviews, as well as transition reviews for young adults moving from child to adult services.

This is an office based, Monday to Friday role at our Segensworth location. The 37.5-hour working week is covered across varied shifts of 08:00–16:00, 09:00–17:00 and 10:00–18:00. Applicants must be available to work across the full 08:00–18:00 operating window.

Key Responsibilities

Manage inbound and outbound telephone calls and email enquiries, responding to general queries and directing enquiries appropriately.
Coordinate clinic schedules, appointments, cancellations, confirmations, and reminders.
Administer referrals, waiting lists, patient correspondence, questionnaires, reports, and other patient information.
Maintain accurate and secure clinical and administrative records and systems.
Provide administrative support to the clinical team, including task management and processing non-clinical tasks.
Liaise with patients, healthcare professionals, GP practices, pharmacists, and other external organisations as required.
Process prescription requests in accordance with established procedures.
Support the management of patient complaints and escalate concerns relating to patient welfare, safety, or safeguarding appropriately.
Assist with statistics, reporting, clinical audits, and patient feedback.
Work to agreed activity targets and KPIs and contribute to service meetings and improvement initiatives.

About You

We are looking for someone with:

Previous experience in care navigation or a similar healthcare administrative role.
GCSEs or equivalent, including English and Maths at Grade 4 (previously Grade C) or above.
Experience of working in a busy, fast-paced environment, managing administrative tasks and working to daily performance targets and deadlines.
Experience of working effectively within a multidisciplinary team and maintaining accurate data and information.
Excellent communication, organisational, and time-management skills, with strong attention to detail.
The ability to work under pressure, prioritise and manage your own workload, use initiative, and adapt to changing priorities.
Proficiency in Microsoft Office, particularly Word and Excel.
Ability to complete and maintain mandatory training and competencies required by the organisation.
Desirable: Experience of using clinical systems, particularly SystmOne and Mjog.
Desirable: NVQ or equivalent qualification in a relevant area, or other relevant training or qualifications.
