The Position
This is a key role providing high-level comprehensive administrative support to the Directors. This role is pivotal in ensuring the smooth day-to-day running of the Director’s schedules, supporting key business activities, including diary management, event co-ordination, marketing administration and HR support.
It is vital that communication flows smoothly and seamlessly within the firm and our external stakeholders. You will work closely with the Directors to act as a liaison between them and the different stakeholders.
You will be adaptable and able to contribute effectively within a fast-paced and evolving environment.
Overall, the role plays a vital part in the success of an organisation by providing indispensable support to key decision-makers and ensuring the efficient operation of the firm.
Director Support
- Manage the complex diaries of all Directors. Ensure meetings are scheduled in a timely manner and the Directors' calendars reflect the required time available for each Director to meet their weekly chargeable time targets.
- Ensure that for each Director there are no meeting duplications/double bookings in their calendars. Should this occur ensure that chargeable time meetings take precedence and non-chargeable time meetings are rescheduled.
- Ensure all meetings are prepared for, agendas are circulated with time allocations for each agenda point (for internal meetings), and the Directors have the information required for review for each meeting in good time. Keep all meetings within the timeframe allocated and ensure that there is minimal/no meeting over-run.
- Be responsible for the accuracy of meeting minutes and their availability for review by the Directors in a timely manner. Follow-up on agreed action points ensuring that the Directors, and others as appropriate, have the opportunity, time and required information to action their minuted points within the required timeframe.
- Where an urgent response is required by a Director, and on their behalf respond to emails either by sending a holding email, or confirming a Director is taking annual leave and will respond on their return.
- On behalf of the Directors and for all A1 clients’ schedule and send meeting invitations periodically.
- Be a client liaison by greeting all A1 clients and supporting the Directors in managing and nurturing relations both externally and internally. For lost clients, obtain their feedback on why they are leaving Dunkley’s and record this on the Lost Clients List.
- Ensure the preparation of company documents, the collation of relevant information, preparation of reports, presentations, professional qualification documents or any other correspondence as requested.
Other Business Support Responsibilities
- Supporting the Director and working in conjunction with our marketing partner to co-ordinate the timely delivery of all initiatives our marketing partner are responsible for delivering.
- Working with the Director, have oversight of the Dunkley’s brand and undertake the operational reviewing of all content to ensure that our marketing partner is working within Dunkley’s brand remit including the brand palette.
- With the support of the Support Services Team (SST), ensure the delivery of client events and produce client invite lists for the Directors to review/approve. As required utilise SST to schedule the Directors lunch bookings and tables for client meetings and for any other relevant tasks.
- As a strategic partner to the Directors, proactively nurture the business’ A1 clients and ensuring regular contact with relevant Directors.
- Support the HR and Operations Manager with weekly and monthly reporting.
Qualifications and Experience
- Have at least 2 years' experience in a PA role supporting senior leaders or Directors within a professional services environment.
- Have demonstrable behaviours including discretion and trustworthiness, flexibility and adaptability.
- Have strong communication skills. You will have experience drafting high-level correspondence and acting as a liaison across teams, you innately communicate clearly, professionally and with emotional intelligence. You represent the Directors’ voice and standards consistently and with clarity.
- Exhibit a high level of discretion and trustworthiness. You will handle sensitive information with absolute discretion, and you operate with integrity at all times.
- You will have experience of relationship building and stakeholder management. You consistently build productive relationships at all levels in the business and externally. You navigate personalities smoothly and ensure the Directors priorities are moved forward.
- You will possess exceptional organisation and prioritisation skills. You can manage complex calendars, conflicting demands and shifting priorities with ease and manage projects on behalf of the Directors.
- Have a demonstrable attention to detail and organisation skills.
- Be fluent with all Microsoft packages and a working knowledge of case management systems
- Be able to work independently and collaboratively to work as part of a team and help others when required.

Pay: £32,000.00-£38,000.00 per year
