About the role

We are looking for a highly organised and proactive FM Contract Support Administrator to join our Facilities Management team. You will play a pivotal role in ensuring the smooth day-to-day administration of FM service contracts, acting as a key point of contact between our clients, operational teams, and supply chain partners. This is an excellent opportunity for someone who thrives in a fast-paced environment and takes pride in delivering exceptional contract and administrative support.

Main duties

Contract administration

Maintain and update contract documentation, schedules, and compliance records; ensure all PPM and statutory maintenance tasks are logged and tracked to completion.

Client & stakeholder liaison

Serve as a primary point of contact for clients, subcontractors, and internal teams; handle queries professionally and escalate issues where appropriate.

Financial & purchase order management

Raise and process purchase orders, assist with invoice reconciliation, and support the Account Manager with financial reporting and month-end processes.

CAFM system management

Log, allocate, and monitor reactive and planned maintenance jobs via the CAFM/helpdesk system; produce regular KPI and SLA performance reports.

Compliance & H&S support

Support the management of statutory compliance documentation including certificates, risk assessments, and method statements; maintain accurate audit trails.

Subcontractor coordination

Coordinate subcontractor access, ensure valid insurances and accreditations are in place, and monitor delivery of specialist services against agreed schedules.

Person specification

Essential

Proven experience in an administrative role, ideally within FM, property, or a related built environment sector.

Strong proficiency in Microsoft Office (Word, Excel, Outlook) and experience using CAFM or helpdesk management systems.

Excellent organisational skills with the ability to manage multiple priorities and meet deadlines under pressure.

Strong written and verbal communication skills, with a confident and professional manner when dealing with clients and stakeholders.

High attention to detail and accuracy in record-keeping, reporting, and financial processing.

A collaborative team player who can also work independently and use initiative

Desirable

Knowledge of statutory compliance requirements within FM (e.g. electrical, HVAC, fire safety, water hygiene)

IWFM membership or relevant FM qualification

Experience with purchase order systems and basic financial administration

Familiarity with SLA and KPI reporting in a contract environment

Pay: £28,000.00 per year
