Due to continued growth, we are looking for a reliable, organised, and proactive Operations Assistant to join our team and help support the day-to-day running of the business.
This is a varied office-based role that would suit someone who enjoys organisation, administration, customer service, and making sure things run smoothly behind the scenes.

The Role
You will play an important part in supporting our operations team by handling enquiries, preparing deliveries, managing stock, and ensuring that our care homes, optometrists, and fitters receive the support they need.
No two days are the same and the ideal candidate will be comfortable managing multiple tasks whilst maintaining excellent attention to detail.

Key Responsibilities
Enquiry Management
- Monitor and respond to incoming call enquiries.
- Ensure all enquiries are dealt with immediately where possible, or within 24 hours.
- Monitor the company inbox and ensure emails are actioned appropriately.
- Escalate urgent matters to management where required.
Glasses & Delivery Management
- Pack glasses into cases ready for dispatch.
- Cross-check frame engravings against patient details and paperwork.
- Organise glasses into care home delivery batches.
- Prepare deliveries for fitters and optometrists.
- Assist with managing any delivery backlogs.
- Ensure all outgoing deliveries are clearly labelled and organised.
Post & Logistics
- Prepare and send parcels to care homes, optometrists, fitters, and suppliers.
- Organise Royal Mail and courier collections.
- Track outgoing items where appropriate.
Signage & Marketing Materials
- Prepare and dispatch dementia signage packs.
- Process signage requests from care homes.
- Organise and send leaflets, brochures, and marketing materials.
Representative Support
- Ensure field representatives have sufficient supplies.
- Prepare and send leaflets, merchandise, promotional materials, and welcome packs.
- Maintain stock of marketing materials.
Stock Control
- Monitor stock levels of:
- Spectacle cases
- Cleaning cloths
- Leaflets
- Signage materials
- Merchandise
- Office supplies
- Notify management when stock requires replenishment.
- Keep stock areas organised and tidy.
# Administrative Support
- Support the Operations Team with day-to-day administration.
- Update spreadsheets and trackers.
- Assist with general office administration tasks.
- Follow up on outstanding actions when required.
Office Management
- Help maintain an organised and professional office environment.
- Receive and organise incoming deliveries.
- Manage outgoing post and parcels.
- Take ownership of keeping the office running efficiently.

Essential Requirements
- Excellent organisational skills.

Preferred Requirements
- Previous office administration experience.
- Customer service experience.
- Experience working in a healthcare or care environment.
- Access to a car and full UK driving licence.
- Experience using Google Workspace (Gmail, Sheets, Drive).
