We are recruiting a n Admin Co - ordinator to work within our Admin team with a desire to make a difference, to work hard and to further their knowledge, skill and experience in a supportive and progressive environment.
Your focus in this role will be to provide comprehensive secretarial and administrative support to the Brighton Wellbeing Service and coordinate a team of Wellbeing Admin Leads ensuring the smooth running of the office day to day.
You will need to have :
A good eye for detail and be able to apply multiple policies and procedures related to administrative tasks across multiple service areas
Experience of coordinating teams and / or tasks to ensure that they are completed within required timescales
The ability to work independently using your own initiative in setting your daily/weekly objectives and the ability to support other team members to do the same
Experience or knowledge of how to support a team, for example the delivery of supervision/Personal Development Plans and short-term absence management.
- To produce and communicate a range of complex, and at times sensitive information to staff at all levels of the service, inclusive of senior leads in order to gain agreement or engagement. This will often include information relating to individual, team and service level performance and capability management. This will also often include where there is a need
- Maintain oversight of workforce KPI’s for areas of responsibility, taking action to address areas requiring improvements.
- Takes responsibility for overseeing the estates of each site, ensuring that room bookings including ad hoc changes are appropriately authorised, documented and communicated.
Budgetary & Resources
- To be responsible for ordering of supplies for the administrative team, other key staff across the management team and maintaining supplies for the office and administration service for which responsible.
- To authorize payments for travel expenses, meeting expenses, appropriate agency and bank timesheets within the administrative team.
- To ensure relevant invoices and purchase orders are appropriately authorised up to the value of 5K

- To undertake project work as required, for example, upgrading the services processes and telephone system; office refurbishments, etc.
- To undertake any other duties at the request of the Manager which are commensurate with the role.
- To be able to articulate the vision and values of Sussex Partnership NHS Foundation Trust, and to feel personally in tune with the delivery of these. To participate in rota to cover reception duties if required.
- To represent the administrative function at internal and external meetings as required.
