Full job description

Job Title: Receptionist

Location: Saffron House, Easton Street, High Wycombe, Bucks, HP11 1NH

Hours: 37.5 hours per week – Monday – Friday 9.00am – 5.00pm

Employer: Oxford Health NHS Foundation Trust

Role type: Temporary for 3 months with possibility of becoming permanent

Job Summary

To provide a professional, effective, and efficient Reception and as required/requested administrative support to the Centre. To be the first point of contact, to welcome patients, parents/carers, visitors, and members of the public to the Centre, as well as staff from other NHS trusts and external contractors, and to respond to all queries. Directing patients to relevant departments as required

Role Details

· To behave in a courteous and professional manner when greeting patients in reception.

· Undertake any general administrative and reception work commensurate with banding - this list is not exhaustive.

· Ensure that consulting rooms and reception area is kept tidy and adequately prepared at the start and end of the day.

· Ensure patient confidentiality is always maintained.

· Ensure patients in the waiting room are kept up to date with relevant information e.g. delays in clinician arriving/departments at lunch if patients arrive early.

· Escalating concerns regarding patients to a member of the relevant clinical team in a timely fashion e.g. a patient becoming agitated or with increased anxiety.

· Deal with queries from patients, visitors, members of the public and staff (trust, other NHS trusts, and other external agencies) face to face, by phone and email – signpost to appropriate department for clinical/further information.

· Operate the switchboard, relay calls to the relevant department. Take messages where necessary and relay to correct department, either verbally or by email. Ensure given information to all callers is correct and to those that need directing, to other departments, outside of the health centre. Retrieve voicemail messages

· from the main switchboard and deal with, as necessary. To answer incoming telephone calls and respond in a timely manner.

· Prepare internal and external mail daily, ready for collection by DHL courier. Sort incoming mail and distribute as required. Sign for medication deliveries and inform relevant department, receipt medication delivery and keep secure until collection.

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

You’ll learn the following whilst working at the trust:

1. An in depth understanding of the roles and responsibilities involved in working within the NHS

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times

3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You’ll have the following skills/experience:

· Reception experience

· Excellent telephone manner

· NHS experience (desirable)

· Reliable and organised paying attention to detail, with excellent interpersonal skills

· Customer service experience
