Retrofit Scheme Administrator

Location: Shirebrook, England, UK

Salary: £29,250pa

Hours: Full-time (Monday – Thursday 8am to 4pm Friday 8am to 2pm).

Westville is a family-owned energy efficiency contractor with over 36 years’ experience, headquartered in Shirebrook, Derbyshire. We’ve helped improve energy efficiency in over £15,000 properties, reducing more than 65 million tonnes of carbon emissions. With a vision of working to deliver a sustainable future for all of our communities we are looking for a Retrofit Scheme Administrator to join our team and help lead our mission.

About the role

This is an exciting opportunity to contribute to vital retrofit projects, helping to improve energy efficiency in homes and combat climate change across our community.

As a Retrofit Scheme Administrator, you will be instrumental in the smooth running of our retrofit initiatives, providing essential administrative support to ensure schemes are delivered efficiently and effectively. You will be a central point of contact, managing information, coordinating activities, and maintaining meticulous records.

Key Responsibilities:

Scheme Coordination: Assist with the planning, organisation, and coordination of retrofit projects from initiation to completion.
Documentation Management: Maintain accurate and up-to-date project files, including survey reports, photo evidence, EPC, completion certificates, guarantees and warranties.
Communication: Act as a key liaison between internal teams, contractors, customers, and clients, ensuring clear and timely communication.
Data Entry & Reporting: Input and manage data related to scheme progress.
Scheduling: Assist with the scheduling of surveys, installations, and follow-up appointments.
Compliance: Collate for all schemes the relevant documentation required to comply (e.g., PAS, Trustmark).
Query Resolution: Respond to general enquiries related to the retrofit scheme, escalating complex issues as necessary.
Customer satisfaction: Carry out customer satisfaction surveys and supply handover packs to customers at the end of the project
General Administration: Provide comprehensive administrative support to the retrofit team as needed.

These responsibilities may be shared across both schemes work for local authorities and private contracts.

Qualifications and Skills:

Proven experience in an administrative or coordination role, ideally within the construction, housing, or energy efficiency sectors but not essential.
Exceptional organisational skills with a keen eye for detail and accuracy.
Excellent written and verbal communication skills.
Proficient in using Microsoft Office Suite (Word, Excel, Outlook).
Ability to manage multiple tasks simultaneously and prioritise effectively.
A proactive and self-motivated individual with a strong work ethic.
Ability to work independently and as part of a team.
A genuine interest in sustainability and energy efficiency is highly desirable.
Knowledge of retrofit standards (e.g., PAS, Trustmark) is an advantage but not essential
