Full job description

Office Administrative Assistant

Reporting To - Managing Director / Office Team

Location : Office Based - Meopham DA13

Job Purpose

To provide efficient administrative support to the business, ensuring the smooth day-to-day running of the office while assisting with basic bookkeeping, and general business operations.

Key Responsibilities Administrative Duties

Answering telephone calls and directing enquiries appropriately.
Maintaining company filing systems, both electronic and paper-based.
Preparing letters, reports, quotations, and other business documents.
Scheduling meetings, appointments, and managing diaries.
Ordering office supplies and maintaining stock levels.
Assisting with project administration and document control.
Maintaining employee records and training documentation.
Supporting the management team with general administrative tasks.
Assisting with tender submissions and pre-qualification questionnaires (PQQs) when required.

Bookkeeping & Finance Duties (Non - Mandatory)

Processing purchase invoices
Raising sales invoices
Recording receipts, payments, and financial transactions.
Assisting with payroll administration and timesheet processing.
Monitoring subcontractor invoices and payment schedules

Additional Duties

Supporting health and safety administration.
Assisting with fleet, plant, and vehicle records.
Maintaining confidentiality of company and client information.
Undertaking any other reasonable duties as required by management.

Skills & Experience Required Essential

Previous experience in an administrative role.
Good knowledge of Microsoft Office (Word, Excel, Outlook)
Strong attention to detail and accuracy.
Good written and verbal communication skills.
Ability to work independently and as part of a team.
Experience handling confidential information.

Desirable

Previous bookkeeping or accounts administration experience.
Experience using accounting software such as Xero, Sage, QuickBooks, or similar.
Experience within the construction or civil engineering sector.
