Full job description

The Agent Support Administrator plays a key role in coordinating residential property services and ensuring that appointments, works and communications are managed efficiently and professionally.

The role involves liaising with clerks, agents, tenants and contractors to organise and coordinate property check-ins, check-outs and inspections, ensuring appointments are scheduled promptly and all relevant parties are kept informed.

Key Responsibilities

Coordinate check-ins, check-outs and property inspections between clerks, agents and tenants.
Contact tenants and agents to arrange suitable appointment dates and times.
Allocate and communicate appointments to clerks, ensuring they have the necessary property and access information.
Monitor scheduled appointments and follow up where required to ensure services are completed within the agreed timeframe.
Maintain clear and professional communication with agents, providing updates on appointment progress, delays or changes.
Receive completed works and reports from clerks and contractors, checking that the required information has been provided.
Forward completed reports and works to the relevant agents promptly.
Track outstanding appointments, reports and works, proactively chasing where necessary to avoid delays.
Keep internal systems and records accurate and up to date, including appointment status, communications and completed services.
Respond to queries from agents, tenants and clerks in a professional and timely manner.
Identify scheduling or service issues and work with the relevant parties to resolve them quickly.
Support the wider residential team with day-to-day administration and service coordination.

Key Skills & Attributes

The successful candidate will be highly organised, proactive and an excellent communicator, with the ability to manage multiple appointments and priorities at the same time.

They should have strong attention to detail, good administrative and customer service skills, and be comfortable communicating professionally by telephone and email. The role requires someone who takes ownership of tasks, follows up proactively and ensures that clients, tenants and service providers receive timely updates.

Previous experience within property, lettings, inventory services, property management or a similar administrative/coordination role would be beneficial.

Pay: £12.71 per hour
