The role
We are looking for a Property Repairs Co-ordinator who will be responsible for the day-to-day administration that arises from the Property Repairs Helpdesk and associated tasks within the Property Team. This role is also accountable for dealing with the general administration relating to the Halo reactive reporting software.
The Property Repairs Co-ordinator role acts as a central point of contact and is essential in delivering a smooth and organised service, which underpins and facilitates the wider function of the Construction Team.
This permanent position is based upon 40hrs/week between Monday and Friday, which after a successful training and induction period will operate on a hybrid basis to include 3 days/week based onsite at our central offices in Letchworth.
Key accountabilities
- Perform all administrative tasks relating to the Help Desk, within the Construction Team.
- Ensure all administration within the Construction Team is kept up to date and is produced in an accurate and timely manner as instructed.
- Manage the Halo property helpdesk portal and ensure that all tickets raised are addressed according to their urgency
- Manage all property related repairs, minimising costs, within agreed service level agreements.
- Help to minimise cost through the use of the internal maintenance team for property repairs/projects where appropriate.
- Liaise with property suppliers to ensure all scheduled work is completed within agreed timeframes.
- Update internal reports relating to property repairs and issue out accordingly.
- Update and follow-up on all insurance defect reports relating to property.
- Upload weekly/monthly supplier invoices to the purchase to pay system.
- Assist with the continuous improvement of departmental practices and processes.
- Act as an ambassador for the People Team and ETEL’s values and behaviours at all times.
Skills & experience
- Experience in an administrative role
- Excellent communication.
- Organised, able to manage competing demands.
- High level of IT proficiency across Microsoft Office.
- Able to handle complex queries and challenging scenarios using a calm and rational approach.
- Demonstrable logical and analytical approach, with a good level of numeracy.
- Possess good knowledge of how to operate CRMs and other internal systems.
- Experience of Halo (works/ticket logging) software systems an advantage.
- A passion for continuous improvement and self-development.
