You notice the missed detail, the unanswered email, the appointment that hasn't been confirmed, the contractor who said "tomorrow" three days ago. And you fix it.
We're looking for a highly organised, proactive, and trustworthy Personal Assistant to provide dedicated 1:1 support to one of our experienced Property Managers while helping keep day-to-day operations running smoothly. This is not a role for someone who waits to be told what to do. It's for someone who takes ownership, anticipates needs, solves problems before they escalate, and brings order to moving parts.
You spot issues early, communicate clearly, and make sure things get done properly. Whether it's diary management, coordinating meetings, handling correspondence, managing projects, liaising with suppliers, or supporting business operations, you're the person who keeps everything moving.
What you'll be doing
- Providing dedicated 1:1 support to a senior property manager
- Managing a busy and ever-changing diary and schedule
- Coordinating meetings, appointments, and travel arrangements
- Inbox management and correspondence handling
- Visiting some easier sites to carry out inspections or run errands e.g. key cutting checking on works, giving access etc.
- Managing emails, correspondence, and key communications
- Preparing inspection updates
- Following up on actions and ensuring deadlines are met
- Coordinating suppliers, contractors, and tenants
- Managing confidential information with discretion
- Creating systems, processes, and workflows that improve efficiency
- Supporting operational projects and business administration
- Using technology, automation, AI tools, and software to reduce repetitive tasks and improve productivity

Essential Requirements
- 5+ years previous experience as a Personal Assistant, Executive Assistant, Office Manager, or similar 1:1 support role
- Excellent organisational and time-management skills
- Strong written and verbal communication skills
- Outstanding listening skills
- Proficiency in Microsoft Office and business software platforms
- Ability to prioritise effectively in a fast-paced environment
- Professional, positive, and solution-focused approach
