Project Administration & Compliance Coordinator

Role Overview

The Project Administration & Compliance Coordinator will provide comprehensive administrative and document management support across multiple live workstreams within the business.

This role requires strong organisational capability, attention to detail, and the ability to manage high volumes of information across digital platforms. The successful candidate will support processes, maintain document control systems, use excel and coordinate communications to ensure compliance with internal and external requirements.

The position is and to an experienced administrator accustomed to working within structured, deadline-driven environments.

Key Responsibilities Digital Platform & Portal Administration

Register organisational interest on external platforms and manage associated user accounts.
Download, organise, and file documentation into the appropriate internal SharePoint or document management systems.
Upload queries and documentation to external portals in accordance with specified requirements.
Monitor portal notifications, updates, clarifications, and correspondence, ensuring relevant stakeholders are informed.
Download and circulate revised documentation, maintaining version control and supersession records.
Maintain accurate digital audit trails of communications and submissions.

Document Control & Compliance Support

Upload structured questionnaires and compliance documentation to internal management systems.
Complete administrative sections of structured online forms, including uploading company certifications and corporate information.
Collate and maintain up-to-date corporate documentation for structured compliance purposes.
Assist in the preparation and coordination of declarations, confirmations, and standard forms.
Coordinate the issuing and tracking of external references or testimonials when required.
Process and upload final documentation packages in accordance with specified submission criteria and deadlines.
Maintain and continuously update a central response library and document repository to ensure consistency and accuracy.

Workload Environment

The business regularly manages multiple concurrent submission processes and structured information requests. This generates a significant volume of digital correspondence, document control activity, and administrative coordination across various online platforms.

The role therefore requires an individual capable of prioritising effectively, working methodically, and maintaining accuracy under time constraints.

Person Specification

Essential:

Proven experience in a structured administrative, compliance, or document control role.
Experience managing documentation via online portals or digital submission systems.
Strong organisational skills and ability to manage multiple deadlines simultaneously.
High attention to detail and accuracy.
Proficient in Microsoft Office and document management systems (e.g., SharePoint).
Strong written communication skills.

Desirable:

Experience within construction, engineering, property, or professional services environments.
Familiarity with structured regulated documentation processes.

Strong coordination and communication skills.
