Full job description

This is a varied and important role at the heart of our business. You will be responsible for supporting the day-to-day running of the office, managing client enquiries, scheduling cleaning work, supporting staff coordination, and assisting with basic invoicing and payment administration.

A key part of the role will involve speaking with potential and existing clients by phone and email, so excellent communication skills and confidence handling calls are essential.

You will also visit client properties in the Cardiff area to provide on-site cleaning quotes. Full training will be provided, but access to your own vehicle and a full driving licence are required. Mileage will be paid in addition to your salary.

Key Responsibilities

Your duties will include:

Answering incoming calls and making outgoing calls to potential and existing clients
Building rapport with customers and providing a friendly, professional first impression
Responding promptly to email enquiries
Visiting client properties to provide cleaning quotes, with full training provided
Scheduling cleaning appointments and allocating work to staff
Managing and updating staff schedules
Monitoring staff hours, holidays, and availability
Requesting and recording customer feedback
Creating and managing customer invoices
Reconciling invoice payments
Recording supplier invoices and payments
Ordering cleaning supplies and equipment
Supporting the smooth day-to-day running of the office
Transporting members of the cleaning team when required

About You

We are looking for someone who is organised, reliable, personable, and confident communicating with a wide range of people. You should be comfortable working independently, managing multiple tasks, and representing the company professionally when speaking with clients.

The role also requires someone who is flexible and willing to start work earlier on occasion, particularly when transport for members of the cleaning team is required.

Requirements

Essential:

Previous administrative experience
At least 2 years’ customer service experience
At least 2 years’ administrative experience
Confident making and receiving phone calls
Excellent verbal and written communication skills
Strong organisational skills and attention to detail
Proficiency with Google Workspace, including Gmail, Google Docs, and Google Sheets
Ability to work independently and manage your own workload
Basic understanding of invoicing or accounting processes
Full UK driving licence
Access to your own vehicle
Fluent English

Preferred:

A-Level or equivalent qualification
Experience using office software, scheduling systems, or phone systems
Previous experience in a cleaning, facilities, property, or service-based business
