Full job description

PEOPLE COORDINATOR

London | £32,000 - £35,000 per annum | 35 hours per week | Hybrid

LHA London is a long-established charity providing affordable accommodation across 14 hostel sites in London.

We welcome people from different countries, cultures and circumstances. For many residents and volunteers, LHA offers more than accommodation. It provides a place to settle, develop new skills, gain experience and build a life in London.

Our employees and volunteers make this possible. We are looking for an organised, approachable and people-focused People Coordinator to support our employees, volunteers and managers throughout their journey with LHA.

This is much more than an administrative role. You will coordinate recruitment, onboarding, payroll and People processes while helping us create a positive and consistent experience for everyone who works or volunteers with us.

You will also support employee relations matters, improve our systems and help managers apply our policies fairly and confidently.

THE ROLE

You will provide professional and responsive support across the full employee and volunteer lifecycle.

You will act as a first point of contact for everyday People queries and work closely with the People Team and managers across our Central Office and hostel sites.

You will:

Coordinate employee and volunteer recruitment across the organisation.
Prepare engaging job adverts and publish vacancies across appropriate platforms.
Manage applications, recruitment inboxes and candidate communication.
Prepare offer letters, employment contracts, volunteer agreements and onboarding documents.
Complete Right to Work, reference, DBS and other required checks.
Coordinate inductions and provide new starters with a welcoming and organised introduction to LHA.
Maintain accurate employee and volunteer records across our People systems.
Support the recruitment, placement and ongoing administration of LHA’s volunteer community.
Liaise with House Managers regarding volunteer vacancies, placements, extensions and leaving arrangements.
Help create a positive, consistent and rewarding experience for volunteers.
Prepare monthly payroll changes accurately and within agreed deadlines.
Process information relating to starters, leavers, contractual changes, unpaid leave and family leave.
Respond to routine payroll queries and investigate discrepancies.
Prepare letters, meeting documentation and other People correspondence.
Support employee relations cases, including arranging meetings, preparing paperwork, taking notes and maintaining accurate case records.
Provide clear first-line guidance on routine People matters, escalating complex cases where appropriate.
Coordinate training sessions and maintain accurate learning records.
Respond to employee, volunteer and manager queries in a helpful and timely manner.
Assist with employee and volunteer engagement, wellbeing, recognition and inclusion initiatives.
Produce regular and ad hoc People reports.
Support the continued improvement of HR systems, payroll processes and automated workflows.
Identify ways to reduce manual administration and improve the employee and volunteer experience.
Handle confidential and sensitive information with care and discretion.

ABOUT YOU

You are organised, dependable and genuinely interested in people. You enjoy making processes work well, but you never lose sight of the person behind the paperwork.

You understand that a strong People function should be accurate, responsive and approachable. You can manage competing priorities while maintaining excellent attention to detail.

You will bring:

Previous experience in an HR, People or similar role.
CIPD Level 5, current study towards Level 5, or equivalent practical HR experience.
A good working knowledge of UK employment law and current HR practices.
Experience coordinating recruitment and onboarding processes.
Previous experience supporting employee relations cases.
An understanding of fair process, confidentiality and accurate case management.
Confidence responding to routine HR queries and recognising when matters require escalation.
The ability to manage multiple priorities and meet important deadlines.

IT WOULD BE A PARTICULAR ADVANTAGE IF YOU HAVE:

Experience working directly with volunteers or coordinating a volunteer programme.
Experience within a charity or another mission-led organisation.
Experience supporting disciplinary, grievance, absence or capability cases.
Experience administering payroll changes.
Experience completing Right to Work and DBS checks.
Experience improving HR systems, forms or automated processes.
Experience within hostels, hospitality, housing, student accommodation or supported accommodation.
An understanding of culturally diverse employee, volunteer and resident groups.
A desire to continue developing your HR career and professional knowledge.
