Full job description

Part-Time Service Coordinator

Location: Clapham, London SW4
Hours: 2 days per week (with the opportunity to increase to 3 days per week in the short term)
Salary: Competitive, dependent on experience

About Us

DRAM Fire & Security is an established fire and security company providing installation, maintenance and compliance services across London. We pride ourselves on delivering a professional, reliable and customer-focused service to our clients.

As our business continues to grow, we are looking for an organised and proactive Service Coordinator to become a key member of our office team.

The Role

This is a varied office-based position where no two days are the same. You will be responsible for helping to coordinate our engineers, supporting customers and ensuring the smooth day-to-day running of the service department.

The role is ideal for someone who enjoys administration, has excellent organisational skills and is comfortable dealing with customers over the telephone.

Key Responsibilities

Answer incoming telephone calls and respond to customer enquiries.
Schedule service visits, maintenance appointments and engineer call-outs.
Liaise with engineers to ensure jobs are completed efficiently.
Prepare quotations for maintenance, repairs and small works.
Raise invoices following completed work.
Match customer payments against invoices and maintain accurate financial records.
Assist with basic bookkeeping and administration.
Maintain customer records and update our service management system.
Chase outstanding quotations where appropriate.
Assist with booking planned preventative maintenance (PPM) visits.
Order office and engineer consumables when required.
Monitor shared email inboxes and respond to customer enquiries.
Support the Directors with general office administration.
Ensure excellent customer service is delivered at all times.

About You

The successful applicant will have:

Excellent organisational and time management skills.
Strong communication skills, both written and verbal.
A professional and friendly telephone manner.
Good attention to detail.
The ability to prioritise multiple tasks.
Confidence using Microsoft Office, particularly Outlook, Word and Excel.
Experience with invoicing or bookkeeping (preferred but not essential).
Experience in a service coordination or office administration role (preferred).
A positive, can-do attitude and willingness to support a growing business.

Experience within the fire, security, facilities management or engineering sectors would be advantageous but is not essential, as training will be provided.
