Job Title: Front of House Administrator

Location: Harley Street and Moorgate

Department: Operations

Reports To: Clinic Manager

Remuneration: £16 per hour

Contract Type: Zero Hours Contract

The Role

We are looking for a Zero Hours Front of House Administrator provides flexible and responsive administrative support across the clinic, ensuring smooth day-to-day operations and maintaining a high standard of patient service. The post holder will primarily provide reception cover, support administrative functions before and after clinics, and assist in maintaining continuity during periods of staff absence.

This position is specifically intended to absorb general administrative demand, enabling Medical Secretaries to focus on their specialist responsibilities and core functions.

Hours of Work

This is a flexible, zero-hours position designed to support the operational needs of the clinic. Shifts may be scheduled between:

Monday to Friday: 7:30am – 8:00pm
Saturday: As required within clinic operating hours

Saturday availability is essential for this role. Working hours will vary based on business needs, planned cover requirements, and unforeseen absences.

Key Responsibilities

Front of House and Reception

Provide professional and courteous front-of-house reception cover.
Welcome patients and visitors, ensuring an excellent patient experience.
Answer telephone calls and respond to enquiries in a timely and professional manner.
Manage patient arrivals and assist with appointment-related queries.
Ensure reception and waiting areas remain presentable and welcoming.

Administrative Support

Provide cover during lunch breaks and planned or unplanned absences across the administrative team.
Support clinic preparation activities, including checking schedules, preparing documentation, and ensuring clinics are ready to operate efficiently.
Undertake post-clinic administrative tasks, including filing, scanning, data entry, and record management.
Assist with appointment scheduling, patient correspondence, and other routine administrative duties.
Maintain accurate records and ensure confidentiality of patient information at all times.

General Duties

Provide flexible support across administrative functions as required.
Assist colleagues during periods of increased workload.
Follow clinic policies, procedures, and information governance requirements.
Undertake any other administrative duties reasonably requested by the Clinic Manager.

Person Specification

Essential

Previous experience in a reception, customer service, or administrative role.
Excellent communication and interpersonal skills.
Professional and friendly manner when dealing with patients, visitors, and colleagues.
Strong organisational skills and attention to detail.
Ability to work independently and adapt to changing priorities.
Good IT skills, including Microsoft Office applications.
Ability to maintain confidentiality and handle sensitive information appropriately.
Flexibility to work varying shifts across clinic opening hours.
Availability to work Saturdays is essential.

Desirable

Previous experience within a healthcare, medical, or clinical environment.
Experience using patient management or appointment booking systems.
Knowledge of healthcare administration processes.
