Job Overview

We are seeking a proactive and detail-oriented Administrative Assistant to join our dynamic team! In this vital role, you will be the backbone of our daily operations, ensuring smooth communication, efficient organization, and seamless administrative support. Duties

Manage incoming calls with professionalism and courtesy, utilizing excellent phone etiquette to assist clients, vendors, and team members
Organize and maintain files, records, and documents using strong organizational skills and attention to detail
Perform data entry tasks accurately and efficiently using computer skills in Microsoft Office, Google Workspace, and QuickBooks
Schedule appointments, meetings, and coordinate calendars to optimize team productivity
Prepare correspondence, reports, and presentations with clear communication and proper formatting
Assist with invoicing, billing, and financial record keeping through QuickBooks or similar accounting software
Support clerical tasks such as photocopying, scanning, mailing, and office supply management

Skills

Proven office experience demonstrating familiarity with administrative procedures
Computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive)
Excellent organizational skills with the ability to prioritize tasks effectively
Demonstrated phone etiquette ensuring professional communication at all times
Experience with QuickBooks or similar financial software is a plus
Ability to adapt quickly to new tools and systems while maintaining attention to detail
