About us

The Faculty of Life Sciences (FLS) Education Administration and Student Experience (EASE) team is made up of five areas: Clinical, Programmes, Research, Learning Technology and Student Wellbeing & Casework. The team is led by three Education Managers and supported by Education Coordinators across the teams.

About the role

We are seeking a proactive and highly organised Education Administrator (0.5 FTE) to support the administration of Doctoral Training programmes across the Division of Biosciences. This G6 role offers a unique opportunity to collaborate with Graduate Tutors, central UCL teams, and external partners to deliver a high-quality student experience. This is a fantastic opportunity for someone keen to develop their skills and build a rewarding career supporting postgraduate research students.

Key Responsibilities:

Provide specialist administration for postgraduate Doctoral Training research programmes, ensuring effective processes are followed across admissions, registration, assessment, and student records.
Act as the first point of contact for Doctoral Training enquiries, offering timely and accurate guidance to prospective and current students, supervisors, and staff.
Coordinate key student lifecycle processes, including application monitoring, upgrade to PhD, examiner nominations, thesis submissions, and monthly engagement checks for overseas students.
Support student experience activities, such as induction, workshops, retreats, poster competitions, and the recruitment of student representatives.
Manage scholarship and studentship administration, including advertising opportunities, processing applications, issuing offer letters, and ensuring stipend payments are set up correctly.
Liaise with key UCL teams and service committees, maintaining accurate records, servicing meetings, and ensuring programme information and documentation remain up to date.

This is a varied and impactful role requiring excellent organisation, attention to detail, and the ability to manage multiple priorities. You’ll be part of a supportive team and have access to training and development opportunities to grow your skills.

Working Arrangements
This is a hybrid role with a minimum of 3 days onsite (pro rata). Flexibility is essential, as there will be peak periods, particularly around student-facing activities, when increased on-campus presence will be required.
