Main Purpose and Scope of the Job
This role supports the HR Manager to ensure that the business is compliant with all people and ethical standards. You will handle the majority of the administration within the department and have some visibility and development opportunities to grow as an HR professional.
You will also administer and run two monthly payrolls with the support of the finance team and HR Manager.
Duties and Key Responsibilities
Attendance Management
- Register and check all employees attendance record on a regular basis including holidays
- Manage the company attendance system and ensure staff understand how to clock in out properly
- Control and monitor staff absence in accordance with the company attendance policy
- Recruitment and Selection
- Assist department heads with recruitment needs and advertisement when necessary
- Update the status of job vacancies on job boards, communities, and the company website
- Respond to applicants’ inquiries
- Ensure the job descriptions align with the position’s duties and responsibilities
- Pre-screen CVs for vacancies and forward suitable candidates to department heads
- Coordinate onsite/virtual interview meetings, and provide translation in the interview if necessary
- Prepare the approval forms, starter request forms
- Extend job offers to prospective candidates and negotiate terms when necessary
Onboarding
· Assist the HR Manager with right-to-work checks and reference checks
· Draft employment contracts in accordance with agreed terms and conditions
· Prepare induction packs tailored to the requirements of each position
· Conduct site tours for new hires
· Inform key stakeholders of new starter information, e.g. IT team
· Update company contact information and seating plan as needed
HR Administration
- Maintain the personal files and make sure they are in order and up to date
- Reflect a real time update on HRIS systems
- Order office stationery and equipment, raise purchase orders on SAP
- Using templates, write required letters/communications to staff
- Ensure all necessary HR documentation is accurately prepared and maintained, including performance reviews, training, leaver forms, and fit notes, etc.
- Create and manage trackers for pending tasks, and provide regular updates to the HR manager on work progress
- Manager HR calendar for scheduled meetings and reminders
- Develop new performance review forms that incorporate the main job duties and KPIs specific to each new position
- Assist in issuing staff membership cards upon successful completion of probation
- Handle reference check requests and draft employment letters
Employee Relations
- Support the HR Manager in ensuring smooth communication across departments
- Assist with ad-hoc HR projects where necessary, such as attending meetings to take down minutes
- Provide accurate translation for employees and documentation where necessary
Compliance
- Maintain and audit existing employees’ right to work documentation to establish and maintain legal compliance
- Maintain compliance with GDPR regulations during all HR activities
Coordination
- Support on/off-site training arrangements, e.g. Accommodation and transport arrangements
- Coordinate with the retail team on workforce arrangements and recruitment plans for new shop opening projects
Specification
· Proven experience as a People Administrator
· Strong administration skills
· High level of confidentiality and attention to detail
· Organised and articulate
· Excellent interpersonal skills and strong verbal and written communication skills
· Enjoy working with People and a good team player
· Proficient user of MS Word, Excel, Outlook, and PowerPoint; and working knowledge of a HRIS
