We are now looking for an Bookings Administrator to join our Hampton Court office and support the delivery of our growing portfolio of premium experiences.
The role
This is a client-facing, detail-heavy role for someone who loves delivering brilliant service.
You will help our clients arrange luxury experiences smoothly - from hotel stays and restaurant bookings to sports hospitality, travel packages and special events.
The role would suit someone from a high-quality hospitality, hotel, restaurant, events, travel or customer service background who is ready to move into a more structured, office-based position.
Key responsibilities
You will be responsible for:
- Managing customer enquiries by phone and email with warmth, clarity and professionalism.
- Helping customers redeem vouchers and book their experiences.
- Liaising with hotels, restaurants, venues, sports clubs, agencies and travel partners.
- Checking availability, confirming bookings and managing customer expectations.
- Preparing clear itineraries, booking confirmations and experience details.
- Supporting customers before, during and after their experience.
- Handling amendments, special requests and occasional issues calmly and commercially.
- Keeping our internal systems accurate and up to date.
- Working closely with our client services, operations and supplier teams.
- Helping maintain the premium service standards expected from Exceed Giving.
The person we’re looking for
You will need to be:
- An excellent communicator, both written and verbal.
- Naturally warm, polished and customer-focused.
- Highly organised, with strong attention to detail.
- Calm under pressure and able to juggle multiple bookings at once.
- Comfortable speaking to customers, suppliers and charity clients.
- Commercially sensible when handling requests, changes and expectations.
- Confident using email, booking systems, spreadsheets and CRM-style platforms.
- Reliable, proactive and happy working in an office-based team environment.
