Job Summary

We are seeking an energetic and highly organized Office Administrator to join our dynamic team! In this vital role, you will be the backbone of our daily operations, ensuring that administrative functions run smoothly and efficiently. Your proactive approach and excellent communication skills will help foster a productive work environment, support team collaboration, and uphold the high standards of our organization. Responsibilities

Manage daily office operations, including greeting visitors, handling incoming calls, and directing inquiries with professional phone etiquette
Maintain organized filing systems, both physical and digital, ensuring easy access to important documents and records
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace tools, and QuickBooks accounting software
Assist with scheduling meetings, coordinating appointments, and managing calendars for team members
Support bookkeeping activities by processing invoices, tracking expenses, and managing financial records
Handle correspondence via email and phone, drafting clear and professional communications
Support clerical tasks such as typing reports, preparing presentations, and maintaining office supplies inventory

Qualifications

Proven office experience with strong organizational skills and attention to detail
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and QuickBooks
Prior administrative experience with data entry and clerical responsibilities
Excellent phone etiquette with the ability to communicate effectively with clients, vendors, and team members
Strong typing skills for efficient document preparation and data management
Demonstrated ability to multitask in a fast-paced environment while maintaining accuracy
Knowledge of basic bookkeeping principles is a plus but not required
