We are seeking a proactive, commercially aware and highly organised Senior Team Coordinator to join the Regional Support Team, providing dedicated support to our Canterbury studio.
Working closely with the Business Unit Leadership and Operations Principal, this role is central to ensuring the smooth day-to-day running of the Canterbury studio. Combining operational coordination with hands-on administrative support, the Senior Team Coordinator will oversee office management and facilities, coordinate project governance activities, support commercial processes and provide practical assistance wherever it is needed.
The successful candidate will be a confident self-starter who builds strong relationships, identifies opportunities to improve ways of working and takes ownership of initiatives that enhance the way the studio operates. Comfortable switching between operational coordination and day-to-day administration, they will help maintain high standards, drive consistency and enable the Business Unit Leadership and project teams to focus on delivering excellent outcomes for clients.
Candidates should be highly organised, adaptable and solutions-focused, with good commercial awareness, excellent attention to detail and the confidence to work independently while building positive relationships across the studio and wider practice. They will be comfortable making decisions, taking ownership of priorities and working with minimal supervision, recognising when to seek guidance and when to act independently.

Your key responsibilities will be as below, but not limited to:
Studio Operations & Office Management
-
Act as the operational hub for the Canterbury studio, ensuring the smooth day-to-day running of the office and creating a professional, organised and welcoming environment.

Work closely with the Business Unit Leadership and Operations Principal to coordinate studio priorities and support the effective operation of the studio.

Take ownership of office management, facilities, onboarding, workspace planning and local operational matters, working with central support teams where required.
Project Governance & Commercial Support

Coordinate regular project reviews with Project Managers and Business Unit Leadership, ensuring actions are captured and followed through.

Support Project Managers in maintaining accurate project information within CMap, including programme, resourcing and financial data.

Promote consistency and compliance across project administration, proactively identifying issues and supporting their resolution.

Assist with project financial management, including tracking, invoicing preparation and commercial reporting.
Business Support & Continuous Improvement

Identify and implement improvements that enhance efficiency, consistency and ways of working across the studio.

Coordinate activities across the studio and wider practice, building strong relationships to ensure priorities are delivered and issues are resolved efficiently.

Act as a trusted point of contact for operational and administrative queries, taking ownership through to resolution wherever possible.
Project Administration & Information Management

Maintain accurate project records and documentation, ensuring information is organised, accessible and compliant with practice standards.

Coordinate document management within Common Data Environments (CDEs), maintaining document control, version control and filing protocols.

Prepare project documentation, reports, presentations and submissions as required.
Leadership & Administrative Support

Coordinate diaries, meetings and actions for the Business Unit Leadership and Operations Principal.

Prepare agendas, meeting papers, minutes and follow-up actions.

Provide flexible administrative support, including travel arrangements, expenses and responding proactively to changing business needs.
Skills and Qualifications:

Proven experience in a senior coordination, business support, studio management or project administration role.

Highly organised with the ability to manage multiple priorities and work independently.

A proactive, solutions-focused approach with the confidence to take ownership and drive activities forward.

Good commercial awareness and an understanding of project financial processes.

Experience coordinating projects, meetings or business activities involving multiple stakeholders.

Excellent communication and relationship-building skills with the confidence to influence, challenge constructively and build credibility.

Ability to make informed decisions, prioritise effectively and work independently while knowing when to seek support.

Proficient in Microsoft Office and CMap (or similar project management software).

Experience of document management systems such as Atvero, Aconex, CEMAR or equivalent.

Experience within architecture, engineering, construction or another professional services environment would be advantageous.

High attention to detail and a commitment to quality, consistency and continuous improvement.
