Bookkeeper & Payroll Administrator (Part-Time)
About Us
We are a growing business operating across the care, manufacturing and property sectors. We are looking for an experienced, organised and proactive Bookkeeper & Payroll Administrator to join our team on a part-time basis.
This is a varied role where you will take responsibility for the day-to-day financial administration across multiple companies. You will work closely with the Directors to ensure our financial records are accurate, payroll is processed correctly and on time, and the businesses remain compliant with all financial and statutory requirements.
Job Details
Job Title: Bookkeeper & Payroll Administrator
Hours: 16 hours per week (2 days)
Location: Penkridge, Staffordshire
Reporting to: Directors
Key Responsibilities
Payroll
- Process monthly payroll for approximately 100 employees across multiple companies.
- Maintain payroll records, including starters, leavers, contractual changes and salary amendments.
- Process statutory payments including SSP, SMP, SPP and other payroll-related payments where applicable.
- Manage workplace pension submissions and auto-enrolment requirements.
- Complete HMRC payroll submissions and ensure compliance with payroll legislation.
- Respond to payroll queries from employees professionally and confidentially.
Bookkeeping
- Complete bookkeeping for multiple companies using QuickBooks.
- Process purchase invoices and supplier payments.
- Raise sales invoices where required.
- Maintain customer and supplier ledgers.
- Reconcile all bank accounts and control accounts.
- Match every bank transaction to supporting invoices or receipts.
- Reconcile supplier statements and resolve account queries.
- Maintain accurate digital financial records.
VAT & Financial Administration
- Prepare and submit VAT returns.
- Ensure compliance with HMRC requirements.
- Maintain complete audit trails and supporting documentation.
- Prepare monthly management information for the Directors.
- Assist with cash flow reporting and budgeting.
- Liaise with external accountants regarding year-end accounts and financial queries.
Financial Controls
- Ensure supporting documentation is obtained and retained for all business expenditure.
- Maintain accurate and organised financial records across all companies.
- Identify opportunities to improve financial systems and internal processes.
- Assist with additional finance and administration duties as required.
What Success Looks Like
The successful candidate will:
- Process payroll accurately and on time every month.
- Keep bookkeeping fully up to date across all companies.
- Reconcile all bank accounts monthly.
- Ensure at least 98% of transactions are supported by appropriate invoices or receipts.
- Submit VAT returns accurately and on time.
- Produce reliable monthly financial information for the Directors.
- Ensure supplier payments are made on time.
- Maintain organised, accurate and audit-ready financial records.
Essential Requirements
- Proven experience in payroll and bookkeeping.
- Strong working knowledge of QuickBooks.
- Good understanding of payroll legislation, pensions and VAT.
- Excellent attention to detail.
- Strong organisational and time management skills.
- Good working knowledge of Microsoft Excel.
- Ability to work independently and manage multiple priorities.
- Professional, trustworthy and able to handle confidential information.
Desirable
- Experience working across multiple companies.
- Experience within the care, manufacturing or property sectors.
- AAT qualification (or equivalent experience).
