Job Introduction

We are looking for a highly organised and customer-focused Administrator to join the BSW (Bath & North East Somerset, Swindon and Wiltshire) Community Health Single Point of Access (SPA) team.

This is an important role supporting the smooth running of back-office functions across community health services. You will provide a comprehensive range of administrative, clerical and organisational support, ensuring that patients, service users, healthcare professionals and partner organisations receive a responsive and professional service.

As a key member of the team, you will act as a first point of contact for enquiries, helping to deliver an efficient, patient-centred service while supporting effective communication and collaboration across BSW Community Health services.

Base Location: Derby Court, Epsom Square, White Horse Business Park, Trowbridge, Wiltshire, BA14 0XG.

Working Hours: 37.5 hours per week (Full-Time).

Please note that occasional travel may be required to other locations across Bath & North East Somerset, Swindon and Wiltshire (BSW) to support service delivery.

Key Responsibilities

Provide comprehensive administrative and clerical support to clinicians, managers and the wider Community Health SPA team, ensuring services operate efficiently and effectively.
Manage patient and service user information accurately across electronic systems, including creating and updating records, scanning documents, generating correspondence and maintaining data quality.
Coordinate and schedule clinical appointments, ensuring patients are booked within agreed timescales and are informed promptly of any changes.
Deliver a professional and responsive service when handling enquiries from patients, healthcare professionals, partner organisations and members of the public.
Process incoming and outgoing correspondence, including emails, letters, appointment information and patient resources, ensuring timely and accurate communication.
Handle sensitive and confidential information with discretion, empathy and professionalism, escalating concerns appropriately and maintaining compliance with information governance requirements.
Support the day-to-day operation of services by managing clinic ledgers, arranging interpreters, booking venues, maintaining stock levels and coordinating equipment servicing and repairs.
Contribute to the effective running of the service by providing reception and telephone support, logging incidents, attending team meetings, supporting EHCP processes and undertaking additional duties as required to meet service needs.

Essential

GCSEs (Grade A-C/4-9) in Maths and English, or equivalent qualifications.
Previous experience in an administrative role.
Experience of using IT systems and databases in a professional environment.
Strong computer literacy with a good working knowledge of Microsoft Office applications, including Outlook, Word and Excel.
Accurate data entry and keyboard skills, with a high level of attention to detail.
Excellent communication and interpersonal skills, with the ability to build positive working relationships.
Ability to communicate effectively with a wide range of colleagues, patients and service users, both verbally and in writing.
Ability to handle sensitive and confidential information with professionalism, discretion and empathy.
Strong organisational and time-management skills, with the ability to prioritise competing demands and meet deadlines.
Ability to work independently and as part of a team within a busy environment.

Desirable

NVQ Level 2 in Administration or equivalent qualification.
NVQ Level 2 in Customer Service or equivalent qualification.
Previous experience working within a healthcare or social care setting.
Understanding of medical terminology.
Experience of using clinical systems, patient databases or healthcare records systems.
