Physica Health is one of Surrey's leading Physiotherapy, Women's Health and Rehabilitation clinics. Our team works across elite sport including Formula 1, professional golf, football and rugby, while also helping local people move better, recover from injury and stay active.
We are looking for an organised, proactive and people-focused Clinic Coordinator to join our team and help deliver an exceptional experience for every patient who walks through our doors.
This is much more than a reception role.
We are looking for somebody who enjoys taking ownership, solving problems, supporting a busy clinical team and helping the clinic run smoothly day-to-day.
The Role
As a Clinic Coordinator, you will become a key part of the team and help manage many aspects of the clinic's daily operations.
Your responsibilities will include:
- Answering phone calls and responding to patient enquiries
- Welcoming patients and creating an exceptional first impression
- Managing bookings, cancellations and diary changes using our clinic software
- Supporting patients with ongoing appointments and treatment plans
- Managing insurance administration, invoices, remittances and payment tracking
- Chasing outstanding invoices and payments where required
- Managing waiting lists and recall systems
- Supporting therapists with day-to-day administrative requirements
- Ordering stock and monitoring clinic supplies
- Assisting with maintaining a clean, organised and professional clinic environment
- Supporting marketing activities and social media content creation
- Creating graphics and promotional materials using Canva
- Assisting directors with administrative and organisational tasks
- Helping improve systems and processes within the clinic

Essential Skills
- Strong written and verbal communication skills
- Good computer literacy
- Confidence using Apple Mac computers
- Experience using Google Workspace including Docs and Sheets
- Comfortable using social media platforms such as Instagram and Facebook
- Ability to learn new systems quickly
- Excellent organisational skills
Desirable Skills
- Previous administration or reception experience
- Experience using Canva
- Experience creating social media content
- Experience working within healthcare, fitness, hospitality or customer service environments
- Experience handling invoices, payments or financial administration
