Job Title:
CBRE Global Workplace Solutions, leading global provider of integrated facilities and corporate real estate management, are recruiting a Minor New Works Support Officer to join the team located in Salisbury.
Role Summary
The role of the Minor New Works Support Officer covers a diverse range of activities to support he delivery of the Minor New Works objectives, which will typically be moderate in complexity. The Minor New works Support Officer will be an enthusiastic individual who will ensure the smooth running of Minor New Works activities by supporting the Minor New Works Manager through the 3 operations of minor new works management process, and the co-ordination of business management actions and activities on their behalf..
Key Responsibilities

Maintain, update, assist with developing / populating a range of databases. The postholder will be required to input data and information accurately and completely, using the correct formats which are consistent with legislation, policies and procedures.
Produce and receipt all departmental purchase orders for external contractors in line with the correct Standing Financial Instructions.
Organise and maintain a comprehensive filing and archive system to effectively implement and maintain activity controls.
Produce activity status reports, performance data and research alternate sourcing arrangements.
Assist with the asset system which records work undertaken on assets around site and close out work orders in a timely fashion.
Implement and maintain activity controls.
Liaise closely with the Finance Support Office to ensure the records are appropriately maintained within the Engineering Archive and accurate records are kept at all times.
Build and maintain strong professional relationships with a wide range of internal and external stakeholders.
Liaise with suppliers with respect to specifications, quotations and invoices.
Manage and monitor compliance of Minor New Works activities in line with the client guidelines and legislation, including Health & Safety, Equality & Diversity, Security.
Support the Minor New Works Manager with workforce planning.
Act as point of contact for Minor New Works responses to requests for information and signpost accordingly.
Maintain the Minor New Works log, working with Minor New Works Manager and users to resolve queries or issues and escalate where appropriate.
Assist all members of the team in the production of documentation to a high standard.

Professional Development
You should pursue a programme of continuous professional development in accordance with any relevant professional registration or statutory requirements, whilst maintaining appropriate awareness of service provider requirements.
You shall be expected to identify, discuss and action own professional performance and training / development needs with your line manager through appraisal / individual development plan.
You shall also be expected to attend internal and external training events and participate in all mandatory training as required, i.e. fire safety, information governance and all other mandatory training.

Person Specification

Essential:

GCSE or equivalent qualifications at C (or equivalent) in English and Maths.
Previous experience within a construction / engineering projects department.
It would be advantageous if prior experience had been obtaining within an engineering / construction environment.
Proven admin experience in a complex organisation or office setting.
Proficient in key Microsoft Office products to include Word, Excel and Powerpoint.
Good communication and interpersonal skills at all levels (internal and external) .
Proactive and methodical approach to work and work challenges, with the ability to prioritise and manage own workload according to business needs.
Ability to meet deadlines within a high-pressure environment.
Ability to work effectively as part of a team, as well as working with minimal supervision.
An understanding of and commitment to equality of opportunity and good working relationships, both in terms of day to day working practices, but also in relation to management systems.

Desirable:

General education to A Level or equivalent (or equivalent courses and experience).
Experience of archive systems would be advantageous.
