Administration Assistant (Insurance and Finance) – Maternity Cover

Part-Time | 15–21 Hours per Week | Bicester Vets

Bicester Vets is looking for a friendly, organised and detail-oriented Administration Assistant to provide maternity cover for our Insurance Administrator. This is an excellent opportunity for someone with strong administrative skills who enjoys problem-solving, working with financial information, and being part of a supportive team.

You’ll play a key role in ensuring our clients’ insurance claims and accounts are managed accurately and efficiently, while working closely with our Finance Manager and Insurance Administrator during a comprehensive handover period.

About the Role

This is a fixed-term maternity cover position, with the successful candidate ideally starting in late September or early October 2026. This will allow for a 2–3 month handover and training period before maternity leave begins in early December 2026.

The cover is expected to run until approximately mid-September 2027 (return date to be confirmed).

Hours

Current hours are 21 hours per week:

· Monday: 9:00am – 5:00pm

· Wednesday: 9:00am – 5:00pm

· Friday: 9:00am – 3:00pm

There is some flexibility, and we would consider applicants seeking around 15 hours per week.

Key Responsibilities

· Process pet insurance claims accurately and efficiently.

· Maintain accurate financial records through high-quality data entry.

· Investigate and resolve payment queries and account discrepancies.

· Assist in preparing financial reports and administrative documentation.

· Liaise professionally with clients and insurance companies by telephone and email.

· Organise, scan and file documentation.

· Provide administrative support to the Finance Manager.

· Use Microsoft Office, particularly Excel, to manage data and reports.

About You

We’re looking for someone who:

· Has previous administrative experience.

· Is confident using Microsoft Office, particularly Excel.

· Has excellent attention to detail and enjoys working accurately.

· Is organised, methodical and able to manage competing priorities.

· Is comfortable working with numbers and financial information.

· Enjoys investigating problems and finding solutions.

· Is confident making telephone calls to discuss payments or account queries in a professional manner.

· Can work independently while also being a supportive member of a small team.

· Can build a positive working relationship with colleagues, particularly the Insurance Administrator during the handover period.

Previous experience in a veterinary practice would be an advantage, but it is not essential.

Please note that this is an administrative role. Formal accounting qualifications (such as AAT) are not required.
