Job Title: Administrative & Accounts Assistant (Short-Term Contract)

Location: Torquay, Devon, United Kingdom

Contract Type: Fixed-term / Short-term (Company Wind-Down Support)

Company Overview:

We are a letting agency and debt recovery business based in Torquay, currently in the process of closing operations. We are seeking a highly organised and detail-oriented Administrative & Accounts Assistant to support the structured wind-down of the business. This is a short-term contract role requiring confidentiality, accuracy, and the ability to manage sensitive financial and client information.

Role Overview:

The Administrative & Accounts Assistant will play a key role in supporting the closure of the business, including reconciling accounts, managing records, assisting with debt recovery processes, and ensuring all administrative matters are completed accurately and efficiently.

Key Responsibilities:

Accounts & Financial Duties:

Assist with closing company accounts, including reconciliation of rent accounts, client balances, and company ledgers
Track outstanding payments and support debt recovery activities
Liaise with landlords, tenants, and clients regarding final balances and settlements
Prepare financial summaries and reports for management and accountants
Maintain accurate financial records during the wind-down process

Administrative Duties:

Organise, update, and archive company records (digital and physical)
Manage correspondence (email, letters, and phone calls) related to account closures and client queries
Assist with the termination of contracts, tenancies, and service agreements
Ensure compliance with data protection and document retention requirements
Support general office administration as required during closure

Debt Recovery Support:

Assist in tracking and documenting outstanding debts
Prepare communication to clients regarding overdue accounts
Maintain clear and accurate records of recovery actions

Key Requirements:

Previous experience in an administrative and/or accounts role (property or lettings experience preferred)
Basic accounting knowledge (reconciliation, ledgers, invoicing)
Strong organisational skills and attention to detail
Ability to handle confidential and sensitive information with discretion
Good communication skills (written and verbal)
Proficient in Microsoft Office (Excel, Word, Outlook)
Ability to work independently and meet deadlines in a time-sensitive environment

Desirable:

Experience in a letting agency or property management environment
Familiarity with accounting or property management software
Experience in debt recovery or credit control

Contract Details:

Short-term contract (duration to be agreed based on business needs)
Immediate or quick start preferred
Flexible working arrangements may be considered
